NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. The Role
Specialist Children’s Services (SCS) is responsible for the provision of Community Paediatric, Child and Adolescent Mental Health Services (CAMHS) and Specialist Hosted Services across Greater Glasgow and Clyde. Services within SCS are delivered in 7 geographical areas:
- 3 Health and Social Care Partnerships in Greater Glasgow covering: North East including East Dunbartonshire, North West and South including East Renfrewshire.
- 3 Health and Social Care Partnerships in Clyde: Renfrewshire, Inverclyde and West Dunbartonshire.
The Purpose Of SCS Is To
- manage local Community Paediatric and CAMHS NHS services;
- improve the health of its population and close the inequalities gap;
- drive the local implementation of the quality strategy ensuring person centred, safe and effective care within SCS;
- achieve better specialist health care for its population;
- ensure an effective NHS process to engage in community care and children’s service planning;
- work closely with local authority colleagues to deliver effective integrated services where appropriate lead NHS participation in joint and community planning;
- modernise community health services;
- integrate community and specialist health care through clinical and care networks;
- deliver effective engagement with primary care contractors;
- work with local communities to ensure they influence decisions

Fixed Term, 1 year – Full time
Shift Pattern – Monday Friday 9am 5pm
Base location – Aranthrue Centre
Key Responsibilities
Business Support
- Prepare agendas, briefing papers and documentation for governance and redesign groups.
- Maintain and regularly review registers of interest.
- Research information and draft responses to correspondence, including public and patient enquiries.
- Provide support, advice and training to administration teams on systems and procedures.
- Chair meetings, produce minutes and coordinate followup actions.
- Represent SCS on citywide groups and progress actions with senior management.
- Lead designated business support teams, ensuring effective operations, resource allocation and service continuity.
- Work collaboratively across Greater Glasgow to maintain consistent business support arrangements.
Operational Procedures and Data Collection
- Conduct surveys, analyse feedback, compile statistics, audits and reports, and implement improvement actions.
- Support the Senior Business Support Manager in producing documentation on operational progress, SOPs and action plans.
- Ensure staff understand and apply NHS patient feedback and complaints processes; resolve complaints or draft responses.
- Address daytoday operational issues, liaising with Estates, IT, Health & Safety, Fire Advisors and contractors.
- Ensure health, safety, security and fire systems are maintained and supported by risk assessments.
- Ensure compliance with NHSGGC policies and protocols, identifying and addressing noncompliance.
- Draft and review contingency plans for all aspects of centre operations.
Service Developments
- Lead and support projects related to service review, redesign and implementation of new services or procedures.
- Prepare and maintain project plans, monitor progress and propose corrective actions where needed.
- Contribute to funding submissions for new services, extensions or endowments.
- Liaise with Capital Planning and Estates on building works, upgrades and refurbishments, ensuring safe environments.
Staff Management
- Manage, motivate and lead business support and caretaking staff, ensuring adequate cover and effective deployment.
- Contribute to workforce planning and workforce information systems.
- Oversee recruitment, induction, training and development of business support staff.
- Develop staff skills through KSF/PDP processes, sourcing and evaluating training.
- Manage sickness absence, maintain records, conduct returntowork interviews and make Occupational Health referrals.
- Participate in staff investigations and disciplinary processes.
Finance
- Act as authorised signatory for financial payments within delegated authority.
- Ensure all financial transactions comply with Standing Financial Instructions, including petty cash, purchase orders and expenses.
Knowledge, training, qualifications and/or experience required to do the job:
Experience/Qualifications
Educated to Degree level or has significant relevant practical experience which demonstrates ability to work at degree level.
Previous relevant administrative experience in a role which required practical use of written English and use of computer systems.
Experience of managing staff within a multi-site setting.
Previous project management experience.
Previous experience of developing and implementing administrative systems is essential.
The ability to work as a key team player and respond to and meet the demands of a busy team.
Specific Skills/Knowledge
Advanced skills in practical use/development of IT applications/systems.
Required to have knowledge of operation of NHS organisation, or similar large scale organisation.
Leadership, teaching and negotiating skills with the ability to organise, motivate and develop staff.
Ability to meet deadlines, work to varying timescales and deal with numerous concurrent tasks.
High level of competence in communication (both written and oral) and in numeracy.
Excellent organisational skills.
