Job Description:

RSHP is seeking a Document Controller to join its London studio, working within the Production and Operations team.

This role will primarily support major, technically complex projects operating within a highly structured information environment, while also contributing to the wider document control function across the practice.

The successful candidate will play a key role in maintaining the integrity, accuracy and traceability of project information within a Common Data Environment (CDE). This position requires exceptional attention to detail, confidence in managing structured data workflows and the ability to operate within defined governance frameworks.

Responsibilities:

  • Administer and maintain project information within structured Common Data Environments (Aconex Essential)
  • Manage document workflows including submissions, reviews, approvals and status tracking
  • Maintain revision control, metadata accuracy and compliance with file naming protocols
  • Ensure all incoming and outgoing information is correctly logged, distributed and archived
  • Generate structured reports and dashboards from CDE platforms to support project leadership
  • Monitor information registers and drawing issue sheets to maintain a clear audit trail
  • Support time-critical submission and review cycles
  • Identify and flag inconsistencies or non-compliant documentation
  • Maintain accurate records to support information traceability and audit requirements
  • Work within defined information management procedures and established workflows
  • Support secure and controlled handling of project documentation
  • Contribute to the wider document control team
  • Support production requirements including printing, binding and scanning as needed
  • Assist in maintaining the print room and production equipment

Skills and qualities:

  • Strong working knowledge of Aconex (essential)
  • Experience operating within structured Common Data Environments
  • Understanding of naming conventions, metadata management and revision protocols
  • Knowledge of ISO 19650 environments (desirable)
  • Excellent organisational skills and ability to prioritise under pressure
  • Strong written and verbal communication skills
  • Proactive and detail-oriented with a disciplined approach to information accuracy
  • Comfortable maintaining governance standards and challenging inconsistencies where required
  • Able to work both independently and as part of a team
