You As a Fleet Coordinator Will

  • Fleet Asset Administration
    • Maintain accurate asset records across all systems (GeoTab, internal databases, Power Apps, Texada/FOSS legacy data, etc.).
    • Track vehicle onboarding/offboarding, inspections, upfitting status, and equipment assignments.
    • Coordinate new vehicle deliveries, documentation, registrations, insurance, and decals.
    • Manage license plates, CVIPs, renewals, recalls, service schedules, and warranty actions.
  • Driver, User & Stakeholder Support
    • Serve as the first‑point contact for driver questions, telematics troubleshooting, vehicle assignments and swaps, and safety/accident process guidance.
    • Ensure accuracy and completeness of driver records (license, abstracts, certifications).
    • Support onboarding/offboarding of employees from a fleet perspective.
  • Incident & Accident Coordination
    • Receive, triage, and document all accident/incident notifications.
    • Coordinate with Fleet Manager and Safety for photos, statements, third‑party info, insurance reporting, repairs, rentals/replacements, and track incident trends and cost impacts.
  • Maintenance & Vendor Coordination
    • Liaise with dealerships, service vendors, and upfitters for routine and unplanned repairs.
    • Track R&M spend, warranty work, and downtime through work order entry.
    • Coordinate PM schedules for pickups, heavy equipment, and UTVs.
  • Operational Data & Program Support
    • Maintain updated lists of assets, vendors, active assignments, and compliance status.
    • Prepare documentation, SOPs, and standard templates as required.
    • Support audits and compliance checks across EllisDon divisions.

Is this the right role for you?

  • Minimum 1 year experience in the commercial transportation space, preferably within the environment of both commercial and light‑duty vehicles.
  • Strong organizational skills with the ability to multi‑task and manage competing priorities.
  • Comfort with data, dashboards, and continuous monitoring.
  • Excellent communication skills; able to engage respectfully but firmly with field staff.
  • High attention to detail and accuracy.
  • Highly motivated and able to work independently.
  • Ability to follow structured processes and ensure compliance.
  • Prior experience with fleet, logistics, construction equipment, dispatching, or operations (preferred).
  • Knowledge of local, provincial, federal vehicle safety regulations.
  • Experience with telematics (GeoTab strongly preferred) or willingness to learn quickly.
  • The salary range for this role is $60,000 – $75,000.
