Job Description:

Senior Events & Sponsor Operations Manager

Location: LXA Greater London, England, United Kingdom

Role Summary

LXA is hiring a senior, hands‑on Events & Sponsor Operations Manager to lead operational delivery across our flagship in‑person event, a mid‑size in‑person event, and a changing calendar of virtual and in‑person events. You will also own sponsor service and campaign operations that support these events.

Your primary focus is flawless event execution and proactive sponsor management. You will manage multiple deliveries in parallel, run detailed operational plans, and communicate early and clearly with sponsors, delegates, suppliers and internal teams so nothing slips, no one has to chase, and events run smoothly.

Core Responsibilities

  • Own end‑to‑end logistics and operational delivery for AntiCon, LXA’s flagship annual in‑person event.
  • Lead detailed operational planning, timelines, and delivery documentation to ensure no detail is missed.
  • Act as the day‑to‑day operations lead across venue, AV, catering, staffing, suppliers, sponsors and delegates.
  • Manage event‑week and on‑site delivery with calm real‑time decision‑making and fast escalation of critical issues.
  • Maintain risk logs and contingency plans to prevent avoidable delivery failures.
  • Serve as the main point of contact for sponsored and non‑sponsored event campaigns.
  • Proactively manage sponsor/client expectations with clear deliverables, timelines, and regular updates.
  • Own internal campaign calendars and cross‑team coordination (marketing, sales, delivery).
  • Produce and manage sponsor information packs, contracts and enquiries.
  • Ensure communication SLAs are consistently met and sponsors never need to chase for information.
  • Own logistics and delivery for approximately 15 additional events per year (dinners, webinars, summits), with volume varying across the year.
  • Manage smaller events end‑to‑end, including supplier coordination, run‑of‑show planning and delegate/sponsor experience.
  • For virtual events, manage registration journeys, automated attendee communications, sponsor deliverables and live production support.
  • Operate and maintain event workflows in HubSpot and other event platforms (e.g. Bizzabo).
  • Duplicate, configure and manage templated landing pages, registration journeys, lists and workflows for events and campaigns.
  • Maintain data hygiene and registration accuracy to support smooth delegate and sponsor experiences.
  • Troubleshoot operational system issues and suggest improvements in collaboration with internal owners.
  • Coordinate delivery of non‑event client campaigns such as research reports and training material projects.
  • Act as a client‑facing delivery lead to manage expectations, timelines, and stakeholder communications.
  • Support internal operational initiatives as needed in a small, fast‑moving team.
  • Deliver events and campaigns within assigned budgets.
  • Track costs vs plan, identify savings, and escalate forecast overruns early.
  • Negotiate supplier costs and contracts, with initial support on major legacy relationships, progressing to full ownership.

What Success Looks Like

  • Events are delivered flawlessly, on time and within budget.
  • Sponsors experience seamless delivery across events and campaigns, with proactive comms and zero chasing.
  • Multiple concurrent events and campaigns are delivered without dropped details, missed deadlines or budget surprises.
  • Event workflows in HubSpot and related platforms run smoothly with minimal errors.
  • Risks are identified early, with clear mitigation and calm escalation when required.

Required Experience and Skills (Must‑Have)

  • 5–7 years’ experience in B2B event operations or event‑led programme delivery, with a strong hands‑on execution track record.
  • Proven experience delivering in‑person and virtual B2B events, including complex stakeholder and supplier environments.
  • Sponsor/client services capability including expectation management, deliverables coordination and campaign delivery.
  • Strong experience managing suppliers and delivering against budgets.
  • Impeccable organisation and attention to detail, with evidence of managing multiple concurrent deliveries.
  • Clear, proactive communicator who prevents last‑minute crises.
  • Active interest and comfort working in the martech and AI landscape, staying current with relevant developments.

Nice‑to‑Have

  • Experience using HubSpot for event operations (lists, forms, workflows, landing pages).
  • Familiarity with event platforms such as Bizzabo or equivalents.
  • Experience in training, learning, or professional development organisations.

Working Environment and Culture Fit

  • Roll up sleeves and deliver, not just design process.
  • Strong‑minded, solutions‑focused and comfortable making decisions.
  • Enjoy agiles, changing environments and can think on feet.
  • Collaborate naturally across functions and stay open to new ways of working.
  • Live an “always learning” mindset in a fast‑evolving tech landscape.

You’ll thrive here if you like ownership, pace and variety. You may struggle if you prefer rigid process, narrow role boundaries or low‑change environments.

Reporting Line

  • Reports to the Managing Director. No direct reports initially. Team management responsibilities may be added over time as LXA grows.

  • In‑person and virtual B2B events experience.
