Job Description

We are currently recruiting for a Project Administrator to join our fantastic team at our site based in Heathrow, Midlands or Birchwood Park. If you are passionate about a rewarding career in Forensic testing and want to use your expertise to its full potential, then this is a great opportunity to join a well-established and successful market leading company with over 30 years’ experience in providing Forensic Services to the Police forces of England and Wales, as well as other commercial organisations and public sector bodies.

This is a truly exciting time to begin or continue your career with our first-class business, as a Project Coordinator you will be responsible for strategic project coordination with high-level business support, ensuring the effective operation and delivery of key initiatives within the organisation.

Key Responsibilities and Accountabilities

The successful candidate will be expected to:

• Coordinate and monitor strategic projects, supporting planning and delivery
• Develop and maintain project documentation, schedules, and performance updates
• Enable effective cross-departmental communication and accountability
• Organise and facilitate workshops, reviews, and project meetings
• Identify operational risks, flag delays, and propose corrective actions
• Collate data and insights for business intelligence reports and dashboards
• Manage logistics and scheduling for business line leadership team engagements
• Support preparation of meetings including attendees, agendas, records, and action tracking
• Contribute to internal and external communications, including briefings and presentations
• Prepare stakeholders for key business engagements and interactions
• Handle sensitive records and information with discretion and care
• Monitor priorities and key deadlines to ensure leadership alignment
  
  

Qualifications

• Background in high-paced administrative or operational environments
• Excellent organisational and prioritisation abilities
• Clear and confident communication skills across stakeholders
• Strong working knowledge of Microsoft Office Suite and project management tools
• Creation and management of complex projects including:
  • Time lines and milestone creation and tracking
  • Action collation and dissemination
  • Action follow up and reporting
  • Stakeholder management both internal, including executive level, and the wider stakeholder management landscape
• Ability to operate across multiple sites and workstreams within a virtual environment
• Professional approach to handling strictly sensitive or confidential information
• Ability to multitask and respond effectively to competing demands

Important Notice for Candidates

Due to the highly sensitive nature of the work we undertake on-site, applicants should note that security clearance will be required for this role. To gain security clearance you must have five years continuous residency in the UK. Security clearance is undertaken by a third party to police personnel vetting standards (NPPV3 and SC), as such any criminal convictions may prevent you from gaining security clearance.

In addition, due to the nature of the work we undertake on our EFS Midlands site, for employees based at EFS Midlands or likely to attend EFS Midlands as part of their role you must inform us if you come into contact with any firearms or ammunition through work or any other reason as there will be precautions you will need to take in order to enter the premises. This also applies to persons involved in clay pigeon shooting, and those who regularly use any cartridge based tools such as nail/stud guns. Please provide details on your application.
