WHAT YOU’LL DO

The Payroll Specialist works closely with the Company HR and Finance teams, external payroll providers and employees throughout the company to ensure the accurate coordination and administration and management of the monthly payroll process for 20 international offices.

MAIN RESPONSIBILITIES

  • Responsible for compiling, and submitting monthly changes for each location’s payroll to outsourced payroll providers and ensuring deadlines are met, and relevant approvals or authorisations obtained
  • Check all preliminary and final payroll reports from outsourced providers for accuracy, and query any errors or omissions with the providers
  • Own and manage the monthly and annual payroll cycle calendar for all locations and keep the HR team updated with upcoming processes and any amendments to the payroll as required
  • Check calculations made by the payroll provider and/or request further breakdowns and explanations where required
  • Hold regular and adhoc review meetings with payroll providers to ensure continual dialogue regarding service level
  • Proactively keep abreast of payroll and tax related legislative changes for each jurisdiction and update HR team members in a timely fashion of the changes
  • Lead investigation processes with the payroll provider into issues / discrepancies that may arise,
  • Coordinate registration/deregistration paperwork for new starters and leavers in each jurisdiction in accordance with local regulatory requirements
  • Where required for Maritime department administrate new starter, variation and leaver processes in coordination with local payroll provider
  • Coordinate with internal Finance department contacts for fund transfers for payroll processing in each jurisdiction including payments for tax, social security, pension
  • Use HRIS (Cascade) to access employee data as required e.g. holiday data for submitting to payroll providers as required in certain jurisdictions
  • Flag to HR team members any upcoming fixed term contract expiration dates or expiry of timebound payroll elements to ensure any changes can be actioned
  • Work with outsourced payroll providers, HR colleagues or Finance as required on year-end tax and/or income reporting in each jurisdiction, and for any internal or external audits
  • Check monthly invoices from payroll providers against headcount records and any adhoc costs incurred, and query any errors with the providers
  • Work with the outsourced payroll providers and HR team to understand and implement any relevant changes in legislation where necessary
  • Create MI for the Head of HR when required including cost analysis of teams and locations
  • Support with the compensation round from a payroll perspective
  • Provide regular and adhoc reports of payroll data to HR or Finance colleagues as requested
  • Any other duties as required

KNOWLEDGE, SKILLS AND EXPERIENCE

  • Business level of English language essential
  • High attention to detail and high degree of accuracy
  • Highly organised with strong time management and prioritisation skills
  • Strong numeric skills
  • Proficiency with Microsoft Office suite (particularly Excel)
  • Ability to take ownership and accountability.
  • Able to work collaboratively as part of a team and towards shared goals but equally able to work independently with a minimal level of supervision
  • Ambitious, self-motivated and demonstrating a willingness to continually develop own knowledge and skills
  • Able to use own judgement to escalate matters as appropriate
  • Strong written and oral communication skills especially in keeping all relevant stakeholders updated
  • High degree of discretion and confidentiality relating to sensitive payroll data
  • Demonstrates high level of flexibility to adapt to changing priorities or short-notice requests
  • Knowledge of other languages is desirable

WHAT YOU’LL DO
