Key Responsibilities
Executive Support & Coordination
- Act as the first point of contact for the Director of Energy Systems, ensuring the smooth and efficient running of their office.
- Provide coordination and support to the wider Energy Systems leadership team as required.
- Manage complex diaries, scheduling and prioritising meetings, travel and key commitments.
- Organise internal and external meetings and briefings, preparing agendas, materials and anticipating Executive needs.
- Attend meetings as required, take accurate notes, produce high‑quality minutes and track actions through to completion.
- Manage incoming and outgoing correspondence, prioritising emails, drafting responses and ensuring timely turnaround.
- Maintain confidentiality at all times and ensure full compliance with internal policies and governance processes.
Directorate Support & Governance
- Ensure key reporting cycles – including budget submissions, reviews and formal reports – are met by coordinating inputs from across the directorate.
- Produce and distribute communication materials such as PowerPoint presentations, speaker notes, briefing packs and event support materials.
Administrative & Operational Support
- Support team processes including salary administration, procurement, ordering, logistics and invoicing.
- Process monthly expenses and credit card expenditure.
- Build strong working relationships with internal and external stakeholders to support effective directorate delivery.
Skills, Knowledge, Experience & Qualifications
- Proven experience as an Executive Assistant, Personal Assistant or similar role supporting at Director level.
- Excellent planning and organisational skills, with the ability to manage competing priorities effectively.
- Experience in handling sensitive information with discretion and confidentiality, while operating with reliability and professionalism
- Strong proficiency in Outlook, Word, PowerPoint, Excel and SharePoint.
- Confident in managing complex diaries and high‑volume correspondence.
- Ability to build and maintain effective relationships with senior stakeholders.
- Degree-level education in business, management or a related field, or one of the following qualifications:
- Institute of Administrative Management (IAM) – Level 3 Award in Professional PA and Administration Skills
- LCCI International Qualifications – Private and Executive Secretary’s Diplomas
- Pitman Training – Professional Executive PA Diploma
- Experience working in external affairs, policy, regulation or a similar environment.
