The Opportunity
Are you an organized, detail-focused administrator who loves keeping things running smoothly? Join our clients Clinical Development Oncology team in White City, London, as an Administrative Assistant.
This role is perfect if you thrive on coordination, organization, and making teams more effective behind the scenes. You’ll be the backbone of our clinical operations – managing schedules, coordinating key meetings, handling travel and expenses, onboarding new team members, and providing essential support to senior clinical leaders.
Based in London’s vibrant White City hub, this is a stable 12+ month engagement with a dynamic, growing team working on cutting-edge oncology research.
What You’ll Do
- Manage GCT meetings – coordinate logistics, track attendance, prepare minutes, maintain meeting systems
- Support HCP contracting – track healthcare provider contracts and payments using reporting systems
- Onboard new team members – arrange office setup, welcome tours, schedule intro meetings, manage equipment orders
- Handle travel and expenses – arrange travel for senior staff, track costs, complete expense reports
- Manage calendars and schedules – organize calendars for clinical leaders, coordinate meeting times
- Coordinate key meetings – schedule advisory boards, steering committees, and clinical meetings with key opinion leaders and study sites
- Provide IT and administrative support – order equipment and supplies, troubleshoot general IT issues
- Organize team activities – plan coffee clubs, team breakfasts, celebrations, and team building events
- Support compliance coordination – assist with compliance-related tasks and study team coordination
- Handle ad-hoc requests – catering arrangements, purchase orders, general administrative support
Essential Skills & Experience:
- Strong administrative and organizational skills with proven ability to manage multiple priorities
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Experience managing calendars and scheduling meetings
- Excellent communication and interpersonal skills
- Detail-oriented with strong attention to accuracy
- Reliable, proactive, and takes initiative on routine tasks
- Ability to manage deadlines and work in a fast-paced environment
- Fluent English (written and spoken)
Desirable:
- Experience in a pharmaceutical, healthcare, or clinical research environment
- Familiarity with BI tools (Qlik Sense, Tableau, Power BI) or reporting systems
- Experience with expense management systems (CONCUR, SAP, or similar)
- Travel booking or logistics coordination experience
- Knowledge of clinical trial terminology and processes
