Overview
We require a knowledgeable, highly motivated, and well‑organised individual to work in this busy and dynamic care group. The role is responsible for the development and monitoring of effective administration systems for the investigation, completion, and reporting of Incidents, Complaints, Risks, Claims, Inquests and Freedom of Information requests.
Key Responsibilities
- Lead on ensuring the Quality and Governance leadership team is fully supported in the execution of Patient Safety Group meetings and administrative support.
- Support the administration of investigations undertaken by the Care Group.
- Be the main point of contact for Trust InPhase Administrator / Trainers.
- Coordinate the completion of learning responses, supporting managers to ensure timely completion of action plans arising from incidents and systemising action‑planning monitoring.
- Ensure complaints are investigated and comprehensive reports/responses are forwarded to the PALS and Complaints Team, and that all resulting actions are completed within required timelines with evidence maintained on InPhase.
- Manage inquest statement requests in a timely manner.
- Provide accurate reports to Clinical Governance meetings.
- Support the Chair of the Patient Safety Group with agenda preparation and supporting documents.
- Develop and maintain a practical system for Care Group meetings, ensuring agendas, minutes and papers are provided and stored appropriately.
- Maintain administrative oversight of incident management within the Care Group.

- Excellent interpersonal skills with the ability to work with a wide range of internal and external stakeholders, including staff, service users, subject‑matter experts, healthcare providers, police and other third parties.
- Excellent communication skills and a keen eye for detail.
- Strong organisational and problem‑solving abilities.
- Capable of managing multiple priorities and delivering accurate, timely information to support oversight and assurance.
