1. About The Role

The Technical Records Assistant is responsible for supporting the Technical Services and Continuing Airworthiness teams in maintaining accurate, compliant, and organised technical records for all aircraft under management. This role ensures that maintenance documentation, logbooks, and associated records are completed, filed, and archived in accordance with company procedures and regulatory requirements.

2. Key Responsibilities

Work pack Management

  • Create, review, and close maintenance work packs in line with approved procedures
  • Ensure all documentation is complete, accurate, and compliant
  • Track and follow up on open work packs to support on-time completion

Records & Filing

  • Digitise and manage maintenance records, ensuring they are organised and easily accessible
  • Maintain and update aircraft logbooks with the latest maintenance activity
  • Keep both physical and electronic records audit-ready at all times

Administrative Support

  • Assist with invoice preparation and timesheet validation to ensure accurate cost tracking
  • Support audit and inspection readiness by maintaining complete documentation

Compliance & Quality

  • Ensure all records meet regulatory (EASA/CAA) and company standardsIdentify and elevate discrepancies or missing information

General Support

  • Carry out any other reasonable tasks or duties asdeemedappropriate bythe Head of Technical Services or Continuing Airworthiness Manager to support the smooth operation of the Technical Services department.

3. Key Skills and Attributes

  • Strong attention to detail and accuracy.
  • Good organisational and filing skills (both physical and electronic).
  • Ability to manage multiple tasks and priorities effectively.
  • Competent in Microsoft Office (Excel, Word, Outlook) and document management systems.
  • Understanding of aircraft maintenance documentation and Part-145 / CAMO requirements (desirable).
  • Team player with good communication skills and a proactive attitude.

4. Qualifications and Experience

  • Previous experience in a technical administration or records role within an aviation environment (desirable).
  • Knowledge of aircraft maintenance documentation, work packs, and logbooks (advantageous).
  • GCSE level education (minimum), with further qualifications in administration or aviation studies considered beneficial.

5. Working Relationships

  • Reports directly to the Part 145 Operations Manager
  • Works closely with the Part-145 Maintenance team, Planning, and Finance departments.
  • Liaises with customers and regulatory bodies as required regarding technical records and documentation.
