About the role
You will provide efficient and proactive support to the Trust’s Estates team by delivering quality, timely, cost‑effective and customer‑focused outcomes. The post holder is responsible for ensuring that information is organised and stored digitally for easy access and sharing within the Estates and Capital Projects team, in line with the Trust’s Data Protection and Information Management policies.
Key responsibilities
- Organise and develop a shared electronic filing/information facility using SharePoint (or a similar system).
- Work proactively to identify information for the shared system (e.g. policies, procedures, contracts, maintenance programmes, project plans, reports, leases, estates and building plans, KPIs, customer feedback).
- Ensure all information is stored and shared in accordance with Data Protection and Information Management Trust and legal requirements.
- Respond proactively to information requests from team members and other Trust Departments.
- Implement version control mechanisms to ensure the use of current versions of key documents.
- Prepare routine reports and correspondence using Microsoft Office suite, MiCad and other specialist systems.
- Communicate, prioritise and, where necessary, escalated routine Estates information verbally and electronically.
- Obtain feedback on Micad effectiveness and raise improvement issues.
- Keep accurate electronic and paper records.
- Provide routine administrative support to all team members.
- Take proactive part in Business Support and wider Estates team meetings.
- Undertake any other reasonable duties as requested.
- Support the departmental digitisation programme.
Systems and Equipment
- Use of information systems including MiCad and Microsoft Office suite.
- Use PC to access e‑mail, calendar/room bookings and databases.
- Contribute to continuous improvement of systems.
