Purpose of the Job

Reporting to the Operations Manager and based in the London Office, this role supports the Commercial & Operations Department to ensure operations prompt support to the fleet allocated to them and Fleet-wide emissions reporting tasks. The role requires that voyage related transactions requested from the operators are in compliance with the Contract of Affreightments (COAs), Charter Party (CP) terms, vendors’ agreements and internal policies. This role is a hybrid role and acts as support to the Operations Team in London UK and being the liaison with the OPC Lead and Accounting Departments in Singapore, both internally and externally.

Job Accountabilities/Key Responsibilities

  • Responsible for daily operations of the fleet and be able to maximize profits through managing the end-to-end operations of voyage and time-chartered vessels efficiently and effectively.
  • Manage Cargo Care and Hold Cleanliness matter for assigned vessels on day-to-day operations functions in close cooperation with the ship staff and Port Captains.
  • Ensure transparent and professional relationship is established and maintained with charterers, head owners (in case of chartered in vessel) and other service providers. Closely cooperate with masters, agents, terminals and stevedores so as to ensure ships have a smooth turn around.
  • Coordinate release of bills of lading, re-documentation and switching of bills. Handle letters of indemnities, cargo certifications and condition surveys etc.
  • Proactively plan and manage to optimize voyages in terms of route planning, weather routing, cargo stowage planning, bunker planning, appointment of port agents etc. Provide voyage and time charter instructions to Masters and convey expectations and then follow up to monitor compliance.
  • Participate in projects and ad-hoc tasks as required by the Operations Managers / Head of Operations.
  • Prepare report and support on voyage closure and invoicing with reconciliation of accounts for Emissions-related regulations (EU ETS, Fuel EU and other emissions regulations in force).
  • MOHA Account reconciliation and transfers of EUA’s.
  • Reconciling EUA Hedges vs Actuals on the respective voyage.
  • Liaise with Trading Team for EUA purchases and hedging
  • Issue freight invoices in accordance with contractual terms
  • Raise hire statements towards time-charterers and arrange hire payments on time-chartered ships on a timely basis
  • Ensure freight and hire incomes are received by the due dates
  • Process port disbursements and suppliers’ invoices by the stipulated dates
  • Update and maintain voyage information in IMOS on a timely basis
  • Reconcile proforma and final hire statements for redelivered shipments
  • Finalize voyages within the internal accounting deadline.
  • Liaise with Accounting Departments of counterparties including customers/charterers, agents, bunker suppliers and towage companies on charterer/suppliers’ compliance requirement
  • Resolve receipt or payment timeline issues with Accounting Departments of counterparties
  • Provide timely accounting-related feedback to operators and charterers on customers late payment, invoicing or internal compliance requirement
  • Undertake additional tasks and projects as assigned by the Operations Manager.

The ideal candidate is a team player who is outgoing and interacts well with multiple stakeholders, both internal and external. A customer-focused and detail-oriented individual, the candidate is also trustworthy and relatable. When put under pressure, he/she is flexible, innovative and is able to think outside the box for a solution to a problem. The candidate must possess excellent communication skills and be able to manage tight deadlines in different time-zones, keeping an open mind to working after office hours and weekends as required by the business.

Qualifications & Experience

  • Minimum Diploma in Maritime Studies, Business Management, or a related discipline
  • At least 1 year of relevant experience in shipping or commercial operations, preferably within dry bulk or tanker segments and/or with a shipowner, operator, or broking house
  • Proficient in Microsoft Excel
  • Experience with IMOS is preferred
  • Finance or Accounting experience would be an advantage
