Role Overview

The Administrators are responsible for supervising and coordinating various aspects of school operations, including student affairs, facility management, and staff coordination, to maintain a well-functioning and efficient summer school environment. They also oversee communication and office management at the centre. They report to the Centre Manager and ensure all phone and email communication is handled appropriately.

Main roles and accountability

As an Administrator, you work closely with the Centre Manager for efficient venue administration and daily Head Office contact, acting as first point of contact for students, staff, parents, and agents while handling queries politely and coordinating welfare for wellbeing. You manage office communications (phone, email, post) ensuring constant staffing, oversee student accommodation / room allocations per guidelines, create/maintain sports / music / EFL / boarding registers liaising with department heads, and handle financial records, petty cash, pocket money, and authorised purchases transparently.

You coordinate arrivals / departures meeting parents, managing travel documents and securing passports / valuables, keep records of meetings/incidents/complaints / health & safety / fire drills for compliance, analyse student feedback via questionnaires, organise excursions (transport, groups, finances, staff coverage, safety), maintain equipment inventory / restocking / repairs, and distribute company property like keys / walkie-talkies. You serve as Group Leaders' liaison, ensure end-of-week reports / certificates for sports / music / EFL, uphold GDPR / data protection for sensitive information, utilise file storage/databases efficiently, and take notes/contribute at daily staff meetings on activities / welfare / operations.

Additional Duties

You provide staff welfare / operations support, adhere to Staff Handbook guidelines and Centre Manager directives with professional conduct, assist camp setup / pack-down for smooth logistics, and perform other reasonable duties demonstrating flexibility.
