Role Description
We are seeking a highly organised, proactive, and bilingual (English/Russian) Office Secretary to join our team full-time, on-site in London. In this role, you will be the heart of our office operations — managing communications, coordinating schedules, handling travel arrangements, and ensuring the smooth day-to-day running of the office.
Key Responsibilities
- Oversee daily office operations and maintain a professional, well-organised environment
- Manage complex calendars, schedule meetings, and coordinate travel (flights, accommodation, visas, itineraries)
- Act as the first point of contact — handle calls, emails, and correspondence in English and Russian
- Draft, translate, and proofread documents, reports, and presentations
- Organise meetings: prepare agendas, take minutes, follow up on action items
- Maintain confidential physical and digital filing systems
- Assist with special projects and personal errands for the principals as required
Qualifications
- Native or bilingual proficiency in both English and Russian (written and spoken) — strictly required
- Proven experience as an Office Secretary, Administrative Assistant, or Executive Assistant, preferably in a Family Office or private wealth environment
- Exceptional organisational and time-management skills with strong attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of integrity, professionalism, and discretion in handling sensitive information
- Excellent interpersonal skills and ability to work independently in a fast-paced environment
