HAIL Partners is working with a prestigious Global Private Equity Firm who are seeking an Executive Assistant & HR Operations Coordinator. This dynamic, hybrid role is ideal for a proactive and detail-oriented professional who thrives in a fast-paced, high-performance environment. You will play a critical role in supporting senior executives while contributing to the firm’s HR operations, gaining exposure to both business operations and people strategy.
Responsibilities
Executive Assistant Support
- Provide high-level, confidential administrative support to senior executives
- Manage complex calendars, prioritising and coordinating meetings, appointments, and events.
- Prepare and organise materials for key meetings, including management and risk committees.
- Arrange international and domestic travel.
- Support the planning and execution of internal events and employee engagement initiatives.
HR Operations
- Collaborate closely with the Head of HR to provide operational support across the employee lifecycle.
- Manage onboarding processes, including contracts, right-to-work checks, system setup, and inductions.
- Coordinate recruitment activities, such as CV screening, agency liaison, interview scheduling, and candidate management.
- Support intern and graduate hiring programmes, including inbox management, assessments, and candidate communications.
- Conduct first-stage interviews and assist in hiring decisions as needed.
- Oversee background checks for new hires and ensure compliance with regulatory requirements.
- Assist with annual compensation and bonus processes, including documentation and coordination.
- Manage offboarding processes, including exit interviews and leaver administration.
- Maintain accurate HR records and ensure compliance with best practices and legal standards.
Requirements:
- Proven experience as an Assistant, and ideally HR support.
- Understanding of HR processes across the employee lifecycle.
- Exceptional organisational skills with meticulous attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to build relationships at all levels.
- Professional, discreet, and capable of handling sensitive information with confidentiality.
