Office Manager (FTC) | Property Developer | West End, London | £35,000 – £45,000

We are recruiting on behalf of a highly regarded residential property developer based in Central London. This is an exciting opportunity to join a small, high performing team working on one of London’s most prestigious residential developments.

This is a maternity cover position reporting directly to the Operations Director.

The Role

The Office Manager is a central and highly visible role within the business often the first point of contact for colleagues, clients and business partners. You will be responsible for ensuring the smooth day-to-day running of the office, acting as the central hub for communication, coordination and operational delivery across the business.

Key Responsibilities

Office & Facilities Management

  • Organising office procedures, maintaining records and ensuring compliance with policies
  • Managing supplies, equipment and vendor relationships
  • Ensuring the office environment is safe, functional and well-maintained
  • Liaising with building management and contractors to ensure all communal areas and office floors are maintained to the highest standards
  • Overseeing cleaning contractors, managing performance and defining tasks across multiple floors
  • Managing ongoing service and maintenance contracts including fire safety, PAT testing, printers, alarm systems and AV equipment
  • Acting as lead fire marshal and first aider, coordinating building evacuations and health and safety compliance

Executive & Administrative Support

  • Managing diaries and scheduling meetings on behalf of senior staff
  • Preparing documents including board papers, often with same-day turnaround
  • Coordinating board meetings, VIP visits, accommodation and airport transfers
  • Managing all incoming post, parcels and correspondence
  • Answering incoming calls and relaying messages appropriately
  • Coordinating national and international travel arrangements for all staff

People & HR Administration

  • Supporting the onboarding process for new starters including workspace setup and system access
  • Administering company insurance policies including group health, death in service and critical illness
  • Managing mobile phone contracts for all employees
  • Coordinating mandatory staff training including fire marshal, first aid and AED
  • Managing staff training records via Access Learning for insurance compliance
  • Overseeing the holiday management platform (TimeTastic) to ensure no team overlaps
  • Managing work visas for international staff members

Events & Culture

  • Leading the organisation of company events including away days, Christmas parties and social events
  • Coordinating logistics for charity events including guest lists, seating plans and table bookings
  • Managing staff gifts throughout the year and Christmas gifts for contractors, consultants and suppliers

IT & Systems

  • Arranging IT equipment, providing basic IT support and managing the external IT support contract
  • Administering corporate software platforms including SharePoint, Expensify and Aconex
  • Managing access card systems for the building
  • Managing software licences for the design team

Finance Support

  • Budget tracking, approving and processing invoices
  • Preparing expenditure dockets and making purchases via company credit card
  • Uploading receipts and reconciling monthly credit card statements

What We’re Looking For

  • Proven experience in an Office Manager or senior PA/EA role, ideally within property, construction or a professional services environment
  • Highly organised with exceptional attention to detail
  • Strong written and verbal communication skills
  • Comfortable managing multiple priorities and working autonomously
  • Confident dealing with senior stakeholders and VIP visitors
  • Proactive and solutions-focused with a positive, can-do attitude
  • Proficient in Microsoft Office and comfortable picking up new systems quickly
