Role Overview
The Programme Administrator plays a critical role in ensuring a high‑quality, compliant, and efficient learner onboarding experience.
This position is responsible for coordinating all aspects of learner enrolment and onboarding, ensuring that:
- Learners are enrolled accurately and compliantly
- Employer and learner documentation is complete
- Systems (including Bud and ILR processes) are updated correctly
This role is central to maintaining audit readiness, delivering a learner‑focused experience, and supporting operational efficiency during a period of growth.
Key Responsibilities
- Learner Onboarding (Core Focus)
- Coordinate end‑to‑end onboarding of all new apprentices
- Act as the central point of contact for onboarding queries (learners, employers, and internal teams)
- Deliver a smooth and professional onboarding experience aligned to organisational standards
- Enrolment & Compliance Checks
- Complete all enrolment compliance checks in line with DfE funding rules
- Ensure all required documentation is accurate, complete, and signed
- Systems & Data Management
- Accurately input and maintain learner data across systems (e.g. Bud and ILR‑related systems)
- Track onboarding progress and flag risks or delays
- Programme Registration & Certification
- Manage learner registrations with awarding organisations (where applicable)
- Coordinate certification processes on programme completion
- Ensure timely and accurate submission of required information
- Coordination Across Teams
- Liaise with Sales/Business Development teams to receive confirmed learner information
- Liaise with Programme Managers and Skills Coaches to confirm readiness for onboarding
- Liaise with Compliance teams to ensure funding requirements are met
- Support the handover from onboarding into active programme delivery
Person Specification
Essential
- Strong administrative and organisational skills
- High attention to detail and accuracy
- Experience managing data and documentation
- Ability to manage multiple priorities and deadlines
- Strong communication skills (written and verbal)
- Confident using systems and databases
Desirable
- Experience in apprenticeships or funded training
- Understanding of DfE funding rules and compliance requirements
- Experience with learner management systems (e.g. Bud)
- Experience supporting audits or compliance processes
