Office Administrator
Salary: £27,000 – £30,000 (depending on experience)
Location: Stevenage
Hours: Monday to Friday, 08:30 – 17:30 (1-hour unpaid lunch break)
About the Role
We are recruiting on behalf of a well-established and growing fire & security services company for an experienced Office Administrator. This is a varied and fast-paced role where you will support multiple departments and play a key part in ensuring the smooth running of day-to-day operations.
You will be responsible for maintaining accurate records, coordinating service activity, supporting engineers and customers, and assisting with finance and reporting tasks.
Key Responsibilities
Administration & Data Management
- Maintain and update customer records across internal databases and systems
- Process engineer worksheets, service reports, and call-out documentation
- Scan, upload, and manage digital records in a timely and accurate manner
- Ensure data integrity across all systems (Customer Database, ARC, OWL, etc.)
Scheduling & Coordination
- Schedule maintenance visits, call-outs, and engineer diaries
- Ensure engineers are fully briefed with correct documentation
- Support service planning and monthly scheduling requirements
- Coordinate booking of works and follow-up actions
Finance & Systems Support
- Raise purchase orders using internal systems
- Support sales and purchase ledger processes (invoicing, credit notes, supplier documents)
- Assist with Excel reporting, including service performance and response times
- Input time sheets and expense data for payroll processing
Reporting & Compliance
- Produce reports relating to service performance, call-outs, and false alarm activity
- Support compliance reporting for third-party certification requirements
- Assist with maintaining accurate records for fire safety and monitoring systems
Systems & Software
- Microsoft Office: Word, Excel, Outlook
- Internal bespoke databases (full training provided)
- Additional industry-specific systems (training provided)
About You
- Previous experience in an administrative or office support role
- Strong organisational skills with excellent attention to detail
- Confident user of Microsoft Excel and general IT systems
- Able to manage multiple tasks and prioritise effectively
- Clear and professional communication skills
- Proactive, reliable, and a strong team player
