Job Description:

We are looking for a Team Administrator to join the Children’s Audiology Team based at Crawley Hospital. The role involves providing secretarial and administrative support to the audiologists and collaborating with the wider children’s audiology team at Seaside View Children’s Development Centre at Brighton General Hospital.

Responsibilities

  • Collect and accurately input patient data into service databases.
  • Use patient administration systems, including SystmOne, to manage patient records, scan documents, and book patients onto clinical rotas.
  • Handle telephone enquiries, receive emails, and manage visitors regarding appointments, meetings, and queries.
  • Take and transcribe minutes at local team meetings, maintaining a consistent standard required for UKAS accreditation (IQIPS).
  • Support equipment ordering and maintain stationery stocks, ordering supplies as needed.
  • Serve as the first point of contact into the service, demonstrating a confident, friendly manner when dealing with children and families.
  • Book and manage clinics for new referrals and follow‑up appointments.
  • Work unsupervised, prioritise workload, and liaise with other team members to meet departmental guidelines.
  • Provide general administrative duties to enable the efficient running of the Children’s Audiology team.
  • Provide cover for annual leave and sick leave as commensurate with the role.
  • Report problems as they arise and resolve them where possible.
  • Maintain and use resources efficiently, reporting damaged or faulty equipment.
  • Assist with local induction for new clinical and administrative staff.
  • Take notes and produce correspondence that is visually attractive and of high readability using Microsoft Office.

Qualifications

  • Good team‑working and communication skills.
  • Excellent organisational skills.
  • Competent user of Microsoft Office Packages.
  • Right to work in the UK (no visa sponsorship available for this role).
