Role Description

This is a full-time on-site role for a Project Support Administrator, based in Kilwinning. This is a key role supporting the Project Manager and wider teams to ensure projects are delivered on time, within budget, and to the highest quality standards.

You will act as a central point of coordination across internal teams, suppliers, and clients, helping to keep complex operations running smoothly across our wind turbine maintenance, repair, overhaul, and parts supply projects.

Key Responsibilities

Project Coordination

  • Support project planning and delivery of scheduled and reactive maintenance
  • Prepare documentation, work packs, RAMS and compliance records
  • Track milestones, deadlines and deliverables
  • Maintain accurate project files and records

Operational & Administrative Support

  • Coordinate technician schedules, travel, site access and permits
  • Manage service requests and allocate tasks
  • Update systems with job progress and completion data
  • Assist with reporting, KPIs and project updates

Parts & Supply Chain Support

  • Process purchase orders, quotes and parts requests
  • Monitor stock levels and support inventory control
  • Liaise with suppliers on deliveries and lead times
  • Ensure all parts documentation is accurate and complete

Compliance & Quality

  • Ensure documentation meets HSE, ISO and OEM standards
  • Support audits and maintain records
  • Assist with incident reporting and continuous improvement

Customer & Stakeholder Communication

  • Act as a key point of contact for project updates
  • Coordinate across field teams, warehouse and management
  • Prepare professional reports and correspondence

Skills & Experience

Essential

  • Previous experience in an administrative or project support role (engineering, renewables or logistics preferred)
  • Strong organisational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Proficiency in Microsoft Office and relevant systems (ERP/project tools)
  • High attention to detail and accuracy

Desirable

  • Experience within the wind energy or renewable sector
  • Knowledge of turbine components or maintenance workflows
  • Familiarity with HSE processes, RAMS, and compliance standards
  • Understanding of supply chain and inventory processes
