Senior Team Administrator (Community Forensic Team)

Responsibilities
- Act as the first point of reference for Service Users, relatives, support teams, colleagues and visitors, demonstrating initiative, mature judgement and maintaining a calm, friendly, efficient manner.
- Organise team meetings, coordinate multi‑agency meetings, support the Responsible Clinician / Consultant and provide overall administrative support to the team.
- Provide non‑clinical advice and information to Service Users, relatives and carers.
- Type team letters on behalf of Managers and Clinicians.
- Transcribe and distribute minutes from team and management meetings.
- Chase updates and outcomes where necessary.
- Maintain records, including spreadsheets, and analyse data when asked.
- Communicate complicated administrative information to staff from other departments and external contacts.
- Maintain records of contact with Service Users and other referring bodies containing personal and sensitive information.
- Provide information about appointments, clinics and admissions by telephone and letter; maintain Service User records and appointment systems.
- Provide support and mentorship to lower‑banded staff.
- Schedule Professional Development Plans (PDPs) and supervision sessions.
- Handle recruitment, onboarding and inductions.
- Provide advice, instruction and training to the team to motivate and assist in achieving objectives.
- Organise events, conferences and other larger meetings.
- Cover for other administrators in similar roles and lower‑banded roles when required.
- Update skills as necessary and attend mandatory training.
- Be exposed to difficult and sensitive material about offences, which may be distressing; maintain confidentiality and self‑care procedures.
Qualifications / Education / Training
- Secondary level education with GCSE qualifications or equivalent.
- NVQ3 / RSA3 or equivalent experience.
- Willingness to complete further training and qualification identified as appropriate to the role.
- Communication skills / Leadership training.
- European Computer Driving Licence or equivalent.
Previous Experience
- Extensive experience working in an office environment; knowledge of secretarial or administrative procedures and systems including non‑routine activities such as answering queries, progress chasing, task‑related problem solving.
- Range of work procedures and practices; base level of theoretical knowledge.
- Experience dealing with non‑routine issues such as problem solving for an area of work or developing alternative or additional procedures.
- Knowledge of specialist functional / medical / legal terms, organisational policies and procedures.
