What you'll do:
- Provide efficient administrative support across finance, HR, payroll, and helpdesk functions to ensure smooth day-to-day operations.
- Process and maintain accurate payroll, invoice, and financial records, including purchase orders, overtime, and labour data.
- Manage and update compliance documentation, ensuring all records are accurate, complete, and audit-ready.
- Maintain daily activity trackers, action logs, and reporting systems to support operational performance and compliance.
- Coordinate contractor activities, including booking site access, tracking work progress, and maintaining records of completed and remedial work.
- Support supplier management by maintaining compliance documentation and administering PO renewals.
- Liaise with helpdesk teams to manage work orders, documentation, and service requests efficiently.
- Attend and contribute to meetings, supporting effective planning and allocation of work.
- Maintain document control systems, including archiving and retrieval of records.
- Ensure all tasks are delivered in line with company policies, procedures, and contractual requirements.
- Provide professional communication when handling calls, emails, and stakeholder interactions.
What you'll bring:
- Proven administrative experience with the ability to manage multiple priorities in a fast‑paced environment.
- Strong organisational skills and attention to detail, ensuring accuracy in reporting, compliance, and financial data.
- Excellent IT skills, including proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Good understanding of financial processes, including purchase orders, invoicing, and payroll support.
- Strong communication and interpersonal skills, with the ability to build effective working relationships.
- A proactive and analytical approach to problem‑solving and continuous improvement.
- Ability to work independently as well as collaboratively within a team.
- Professional, reliable, and customer‑focused approach to all tasks.
- Ability to manage confidential information with discretion and integrity.
- (If applicable) Experience within a technical, engineering, or facilities environment.
