Job Summary
To be responsible to the Retail Projects Senior Project Manager for the achievement of Project Management duties.
Main Responsibilities
- Manage the Landlord approval process.
- Act as a single point of contact between the tenant, tenant’s project team and various stakeholders across the business.
- Promptly respond to all tenant and contractor queries, requests for information (RFIs) or clarification and follow up on meetings.
- Review tenant drawing submissions in line with the tenant handbook requirements, design and aesthetic guidelines ensuring all aspects of design meet Canary Wharf Group’s commercial aspirations whilst adhering to requirements, identify gaps in information and offer recommendations where appropriate.
- Review contractor CPPs and health & safety submissions to ensure that they are of sufficient quality to be considered by the Safety Team.
- Regularly coordinate with the Retail Leasing department to ensure that they are fully aware of any design or construction issues which may affect their ability to lease space.
- Regularly coordinate with the Legal department to ensure any drawings, EPCs and other documentation required is issued promptly and that any procedures followed in project delivery are reasonable and enforceable under the terms of the leases.
- Oversee and advise tenants regarding filing and receiving appropriate statutory approvals.
- Review and approve payment of Landlord contributions.
- Drive the delivery of the new tenant retail fit out and existing store refurbishment projects within both new built and existing buildings across the Canary Wharf Estate through to completion through the coordination of activity of others.
- Manage and coordinate landlord’s works and enabling works within both new built and existing buildings across the Canary Wharf Estate.
- Develop detailed project programmes to include milestones, tasks and target/actual dates of completion.
- Track progress of each project against goals, objectives and programmes. Report status and variances to relevant project stakeholders.
- Ensure project compliance with Construction Design Management CDM Regulations.
- Where the Canary Wharf Group is the client and/or principal designer, take all reasonable steps to ensure that the client and/or principal designer duties under CDM Regulations as discharged.
- Project manage works.
- Conduct pre-start meetings to advise the fit out contractors of procedures for site logistics, health and safety, environmental issues, and any other matters.
- Conduct regular meetings and workshops with Building Management teams, Infrastructure and Canary Wharf Contractors Limited on projects where they are major stakeholders.
- Maintain a regular site inspection schedule to check for quality, health & safety and completion on both Landlord and Tenant work currently in progress and produce regular progress reports.
- Be available to assist construction teams to answer queries and promptly solve design/coordination problems as they arise.
- Attend Life & Fire Safety Witness Tests (DS Tests) alongside LBTH Building Control.
- Carry out Landlord handover and snagging inspections and produce snagging reports.
- Upon completion of the Contractor’s work, ensure that all records and certificates are promptly handed over. Ensure that the Contractor provides accurate and complete information for the O&M Manuals, the as-built drawings, and the Health & Safety file.
- Contribute to the development and implementation of project management processes, standards and procedures including updating the tenant handbooks and design guidelines.
- Assist the Retail Project Executive and the Senior Retail Project Manager in preparation of tender documentation, responding to tender queries and requests for information (RFIs) and evaluation of tender returns on technical, commercial, and programme base lines.
- Carry out any other reasonable duties as requested and assigned by the Senior Retail Project Manager.
Person Specification
Essential
- A background in construction, engineering, facilities management, or design.
- A relevant safety certification is essential (IOSH /NEBOSH).
- Self‑motivated, tenacious, and able to work well as part of the team.
- Excellent verbal and written communication skills, especially when dealing with contractors, design and technical consultants and statutory authorities.
- Assess drawings (technical and architectural) and interpret them from both a design, mechanical, electrical, and technical perspective.
- Computer literate at intermediate level with experience of Microsoft Office Packages and document management systems.
- Excellent organisational skills.
- Attention to detail and an ability to make commercially aware decisions.
- Excellent negotiation skills and apply these to their dealings with tenants and contractors.
- Excellent interpersonal skills; the post holder should be able to build relationships and influence decision‑making both as subordinate, colleague, and manager of staff.
- Ability to multitask, balance often conflicting priorities, be flexible and adaptive to change.
- A commitment to continuing professional development.
Desirable
- Strong project management experience, with the ability to manage projects end to end.
- Retail project management or retail construction experience.
- Understanding and appreciation of unique complexities of delivering construction projects in a working retail environment or within occupied residential/commercial buildings.
