Job Specification: Part-Time Personal Assistant (PA)nnLocation: London (On-site, 3 days per week)n Contract Type: Ongoing contractor (initially 6 months – likely to be extended)n Day Rate: £(Apply online only)n Department: Supporting Senior Leadership (Legal & Product Teams)nnOverviewnnWe are seeking a highly organised and proactive Part-Time Personal Assistant to support senior team members within a fast-paced Global Investment Management firm.nnThis role provides essential administrative and organisational support to 4/5 senior leaders across the Legal and Product teams, including Heads of Department and Managing Director-level stakeholders. The ideal candidate will be accustomed to working within large corporate organisations and able to manage multiple stakeholder requests and priorities with accuracy and professionalism.nnKey ResponsibilitiesnnExecutive & Team SupportnnProvide comprehensive PA support to senior team members to enable them to operate efficiently and effectively.nManage multiple complex diaries, ensuring seamless travel scheduling across global time zones.nArrange regular global travel, including flights, hotels, visas, itineraries, and cross‑timezone scheduling.nCoordinate small and large-scale meetings with internal and external stakeholders.nBook meeting rooms, organise catering/refreshments, and ensure all logistics run smoothly.Administrative TasksnnPrepare, print, and organise legal documents in a timely manner, ensuring sign‑off processes are completed accurately.nMaintain and update Excel spreadsheets with high attention to detail.nPrepare occasional PowerPoint presentations as required.nProcess expenses and provide general administrative support across the team.Skills & Experience RequirednnStrong experience supporting senior leaders in a large corporate environment.nProven ability to manage multiple complex diaries and international travel arrangements.nExcellent organisational skills with a high level of attention to detail.nProficient in core Microsoft Office applications (Outlook, Excel, PowerPoint, Word).nConfident communicator with the ability to liaise professionally with stakeholders at all levels.nAbility to work proactively, handle competing priorities, and deliver to tight deadlines.nPrevious legal PA experience is beneficial but not essential.Personal QualitiesnnProfessional, reliable, and proactive in approach.nEnjoys working in a lively, sociable, and fast-paced office environment.nAble to support multiple senior stakeholders with differing needs and priorities.nCalm under pressure, solutions‑oriented, and adaptable. nnWe are happy to provide application and/or accessibility support, please contact your Marks Sattin or Grafton consultant directly to discuss your needs.
