We are seeking a highly organised and detail-oriented Administrator to support our Personal Injury and Clinical Negligence team. The successful candidate will play a vital role in ensuring the smooth running of the department by providing administrative support to fee earners and Legal Assistants.

What you’ll be responsible for:

  • Providing administrative support to fee earners and Legal Assistants in the Personal Injury and Clinical Negligence team.
  • Opening, maintaining, and closing client files in line with firm procedures and regulatory requirements.
  • Managing diaries, booking appointments, and coordinating meetings and appointments.
  • Transcribe audio recordings and take dictation accurately and efficiently, ensuring correct grammar, punctuation, and formatting in all documents.
  • Liaising with clients, experts, medical agencies, and other third parties in a professional and courteous manner.
  • Drafting routine correspondence, legal documentation, and prepare court bundles.
  • Filing and archiving documents accurately (physical and digital filing).
  • Inputting and maintaining accurate case data on the case management system.
  • Monitoring deadlines, chasing outstanding documents, and assisting with the preparation of reports.
  • Ensure compliance with GDPR, SRA, and other regulatory standards.
  • Supporting the billing process and assisting with disbursement tracking and cost recovery.
  • Handling incoming and outgoing post and telephone queries.
  • Any other reasonable duties and responsibilities as directed by your line manager or Director.

  • Previous experience in an administrative or support role is preferred.
  • Strong understanding of legal terminology and case progression procedures.
  • Excellent organisational and time-management skills.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office (Word, Outlook, Excel) and case management systems.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Discretion and the ability to handle sensitive information confidentially.
