Role summary:

  • Department: HR.
  • Line Manager/Reporting to: HR Advisor/HR manager.
  • Location: Farringdon, London, UK.
  • Working pattern: full-time in office during probation, 3 days thereafter.

Main duties and responsibilities

1. Employment Lifecycle Administration

  • Establish and manage employment contracts, amendments, annexes, and certificates.
  • Integrate newly hired employees and manage administrative files (documents to be transmitted, completed, and signed).
  • Monitor probation periods (renewal and termination).
  • Manage and track visas, residence permits, and status renewals.
  • Administratively manage departures in SAP VISION.
  • Follow all events in the employee lifecycle (illness, maternity/paternity leave, contract suspension, return to work, inter‑contract monitoring, etc.) and update SAP info types accordingly.
  • Monitor SAP data using reports to control entries/exits, probation periods, fixed‑term contracts, and foreign status.

2. Payroll & Time Management

  • Enter, verify, and follow up on payroll elements in info types and CRAs.
  • Enter, check, and validate absences (absence requests and timesheets) in the VISION portal.
  • Follow up on timesheets for the perimeter.
  • Process, correct, and send reminders for all timesheets.
  • Manage specific payroll‑related files (e.g., overpayments) for a division.

3. Employee Relations (ER)

  • Manage all Employee Relations cases in accordance with company policies and procedures.
  • Ensure all due diligence is carried out when managing any ER matter.
  • Be the privileged interface for employees and managers within the perimeter.
  • Alert the Line Manager in case of difficulties in daily management.

4. Data Management & Compliance

  • Ensure compliance with HR processes for the perimeter.
  • Check personnel data for accuracy.
  • Maintain accurate and compliant documentation in SAP and other HR systems.

5. HR Support & Stakeholder Coordination

  • Assist the training team on an ad hoc basis in preparing training files.
  • Coordinate with managers and employees to ensure smooth HR operations.

6. Leadership, Training & Team Coordination

  • Participate in training new HR Admin Assistants.
  • Train and coordinate the actions of one or more assistants / HR Administrators.

Preferred/required experience:

  • CIPD Qualified-Level 3 (preferred).
  • Bachelors Degree. (required).
  • 2 years+ experience in HR.
