PA to Divisional Manager

Title: Personal Assistant to the Associate Director of Operations (Core Clinical division).

Employment status: Fixed‑term contract until August 2027 (maternity cover) – 19 hours per week, flexible working possible.

Location: Milton Keynes University Hospital site at Oak House, access to Eaglestone Restaurant, free car parking including electrical charging.

Primary responsibilities

  • Provide high‑quality administrative support to the ADO, Divisional Director, and Management Team.
  • Manage agendas, diary entries, and meeting minutes, ensuring accuracy and timely distribution.
  • Coordinate meetings with speakers, equipment, venues, and catering as required.
  • Act as the first point of contact for visitors, telephone, email and other queries, delivering a professional image of the Trust.
  • Assist with liaison with internal and external stakeholders, maintaining the Trust’s values.
  • Support service improvement plans and participate in change programmes.

Qualifications & experience

  • GCSE in Maths and English (grade C or equivalent) or equivalent.
  • Degree level or vocational qualification with extensive experience in business administration.
  • Expertise in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience drafting documents, handling confidential information, producing accurate minutes.
  • Strong communication skills, telephone manner, ability to present information at varying levels.
  • High attention to detail, multitasking ability, ability to maintain focus under pressure, fair and consistent approach.
  • Ability to investigate issues and propose solutions.

  • Strong sense of respect, integrity, and professionalism.
  • Adaptable, proactive, and can work well as part of a team.
