Senior Administrator

A fixed‑term/secondment opportunity has arisen to cover maternity leave in the role of Senior Administrator. The main responsibilities of the role are to provide full administrative support to the Team manager and the Tees Valley Primary Care Mental Health Service and also to support the Associate Director of MH/LD Partnerships and Strategy.
You must have the Right to Work in the UK to be appointed. This role does not meet the eligibility criteria for sponsorship under the Skilled Worker visa, so sponsorship is not offered.
Main duties of the job
- Provide comprehensive, confidential administrative support.
- Be aware of work priorities and manage deadlines for yourself and your manager.
- Ensure continued professional development through relevant training as agreed with line manager and service requirements.
- Provide an administrative service that delivers timely, accurate work; handle highly confidential and sensitive material with discretion, tact, and compassion.
Job responsibilities
- Implementing and maintaining systems and processes within an administration team.
- Leading, supervising and training staff on administrative processes.
- Managing digital audio typing, Microsoft Office applications, diary management, filing systems, collating and presenting information.
- Co‑ordinating meetings and associated duties.
- Extracting data and preparing reports.
- Participating in service and quality improvement initiatives.
- Advanced typing and accurate data input.
Qualifications
- BTEC Diploma/Level 3 Diploma in Leadership and Management OR equivalent (e.g., NVQ in Business Administration / RSA Level 3) OR equivalent knowledge gained from relevant work experience plus willingness to work towards Level 5 in Leadership and Management within an agreed timescale.
- IT Qualification (e.g., ECDL, RSA, NVQ in Business Administration) OR equivalent knowledge gained from relevant work experience.
- Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above) / New GCSE in Maths and English (Grade 4 to 9).
Experience
- Implementing and maintaining systems and processes within an administration team.
- Leading, supervising and training staff on administrative processes.
- Significant experience in an administrative environment including digital audio typing, Microsoft Office applications, diary management, filing systems, collating and presenting information.
- Co‑ordinating meetings and associated duties.
- Extracting data and report preparation.
- Participation in service and quality improvement initiatives.
- Advanced typing skills and accurate data input.
Knowledge
- Understanding of data protection and service user/staff confidentiality in line with defined procedures and guidelines.
- Organising and completing demands and workloads, meeting deadlines using delegation where necessary.
- Sound understanding of quality improvement initiatives.
- Problem solving for an area of work or developing alternative or additional procedures.
Knowledge/Skills/Experience
- Adaptable and professional communication with all staff, carers and service users.
- Negotiating and influencing skills.
- Accurately transcribing data from a variety of sources, including digital dictation software.
- Flexible approach to working with own initiative, using discretion when making decisions.
- Ability to work autonomously and proactively and be accessible to the team to support workload.
- Knowledge of Human Resources policies and procedures.
- Ability to critically analyse, appraise and problem solve.
- Maintain concentration and attention to detail whilst dealing effectively with interruptions.
