Job Description:

We are currently looking for an Appointments Coordinator / Receptionist / Support Typist to work in the Orthodontic Department.

Ideally the candidate will have typing skills and experience in direct face‑to‑face contact with patients/clients for appointment scheduling. The role will involve working on a job share rota basis within the department, predominantly on Mondays and Fridays.

Responsibilities

  • Provide full secretarial and administrative support to the Orthodontic Department.
  • Prepare patient notes ready for clinical appointments.
  • Book appointments for patients at the desk, including new patient consultations within the required timescale.
  • Reschedule cancellations and DNAs and manage capacity within the clinics.
  • Ensure all correspondence relating to patients is saved on the Electronic Document Management systems (Evolve).
  • Accurate audio typing using digital dictation and word processing systems.
  • Provide and receive confidential and sensitive information written, aural or verbal, to be exchanged with patients/clients, relatives, staff or external parties.
  • Review and manage the patient pathway to ensure all RTT targets are met, escalating concerns as necessary.
  • Ensure telephone enquiries are dealt with in a confidential, professional, tactful, sympathetic and timely manner.

Qualifications

  • Experience of audio typing and word processing is essential.
  • Excellent typing, communication skills, and a professional telephone manner.
  • Experience in a hospital or clinical environment, able to work within a busy team and independently.
  • Ability to prioritise workload, remain calm under pressure, and maintain a flexible, pro‑active and positive attitude.

Reporting to the Team Leader and working closely with the Medical Secretaries to deliver the service within NHS targets.
