This role offers an exciting opportunity to join the Radiotherapy (RT) and Proton Beam Therapy (PBT) team at UCLH. The post holder will provide comprehensive executive assistant and quality administrative support across the services and will be based in the Radiotherapy and Proton Beam Therapy department in the University College Hospital’s Grafton Way Building.
UCLH delivers radiotherapy services across two departments. The photon department is equipped with Varian TrueBeam systems with advanced imaging and 6DoF couches, a full brachytherapy suite and a Gulmey skin unit. The proton beam therapy (PBT) department is equipped with Varian ProBeam gantries with advanced imaging and robotic couches, a dedicated CT scanner and MRI scanner. The department treats a broad spectrum of cancers, including brachytherapy and total body irradiation, with a focus on head and neck, brain and sarcoma. PBT patients include paediatrics and young adults, making up approximately one third of the cohort.
The post holder will support the Radiotherapy Services Manager, Proton Beam Therapy Operational Lead and Radiotherapy Services Quality Manager. Responsibilities include working closely with the Quality Team to maintain the quality management system, building strong working relationships with team leads, undertaking departmental audits, service evaluation, quality improvement projects, organising meetings and recording minutes. The role also involves assisting with data entry onto clinical systems, generating reports, collating data, reviewing performance data and trends, and using analysis and judgement to identify and propose opportunities for development and improvement.
Key responsibilities
- Provide full administrative support and diary management to the Radiotherapy Services Manager or Proton Beam Therapy Operational Lead.
- Provide full administrative support to the RT/PBT technical lead radiographer, pre‑treatment lead radiographer and research and development lead radiographer.
- Provide full and comprehensive administrative support to the Radiotherapy Services Quality Manager.
- Organise regular and ad‑hoc meetings for the RT/PBT department, including venue arrangements, agenda generation, distribution of minutes and recording of notes.
- Ensure that recorded actions from meetings are followed up and acted on within agreed timescales.
- Assist team leads with travel and accommodation booking as required.
- Assist with recording planned and unplanned leave and support the ESR and HealthRoster systems for RT/PBT managers.
- Play a pivotal role in stock control and purchasing of consumables for the entire RT/PBT department.
- Actively maintain the ISO 9001:2008 Quality System.
- Support the department during inspections, external audits or accreditation.
- Undertake internal quality system audits.
- Support the Cancer Division Audit Programme and the designated clinical audit lead.
- Support Information & Support Superintendents in developing and producing departmental patient information leaflets and booklets.
- Provide QA administrative support to superintendent radiographers to improve the efficiency of the PBT department.
- Provide QA administrative support and appropriate documentation to other staff to contribute to departmental efficiency.
- Provide QA administrative support/documentation to students, APs and other staff undergoing training in the department.
- Assist with data entry into clinical systems, including planning databases, ARIA and departmental databases.
- Review performance data, trends and processes; identify and propose opportunities for improvement.
- Review statistical process charts and advise service team leads on necessary changes.
- Participate in monitoring compliance against nationally relevant targets.
- Prepare quality reports for presentation at Trust, Radiotherapy Network, NHS England level meetings and meetings with private providers.
