The Admin Coordinator plays a pivotal role in ensuring accurate and efficient management of patient administrative information within the Trust. This position requires strong teamwork, discretion, and communication skills, along with detailed knowledge of hospital procedures and data systems.
Responsibilities
- Work as part of a team, independently, and under pressure.
- Liaise with various members of staff within the hospital.
- Provide and receive routine information regarding patients (e.g. from GPs) requiring tact and discretion, using persuasive skills with awareness of the Trust and Caldicott guidelines.
- Deal with enquiries both in person and over the phone from patients, medical staff and the general public in a professional and co‑operative manner.
- Act as the first point of contact for bereaved families and friends, requiring discretion, tact and compassion.
- Maintain frequent concentration on data entry and queries from medical staff, patients and visitors, ensuring high accuracy to minimise clinical risk.
- Be prepared for potential daily exposure to distressing information regarding complex clinical conditions and treatments.
Qualifications
- Experience with a computerized Hospital Patient Administration System and up‑to‑date knowledge of the Trust’s main inpatient and A&E systems, including accurate updating and registering of patient details, using the ‘inpatient waiting list’ and ‘to come in’ functions, managing outpatient appointments and entering emergency admissions and discharges.
- General understanding and willingness to develop an understanding of hospital policies and procedures.
- Good understanding of medical terminology.
- Knowledge of other admin and clerical systems within the Trust, including a computerized scanner, Microsoft Office packages, and the telephone system, and compliance with mandatory training.
- Ability to provide induction training for new starters of all reception tasks and responsibilities.
