Job Description

The Assets team tracks all assets purchased and deployed by Assured Data Protection via an internal asset management system and processes that aid asset management.

We are looking for a Shipping & Logistics Coordinator based in the UK who will report directly to the Global Asset Manager. This role will focus on ensuring hardware is shipped to various sites around the globe, liaising with suppliers, shippers, customs, and internal stakeholders to ensure a smooth delivery from start to finish. Other key responsibilities include updating the asset inventory, replying to queries and requests and helping with other areas within the team due to holidays and absence.

The ideal candidate will be someone with previous shipping experience, particularly dealing with global shipments and customs. They’ll possess strong administrative skills, communication skills, be highly organised, and looking to help shape the processes around shipping and logistics. Previous exposure to asset management is desirable, however training can be provided to a suitable candidate.

Key Responsibilities and Tasks

• Coordinate global import and export shipments, ensuring compliance with customs regulations and trade laws.
• Prepare and verify shipping and customs documentation.
• Request shipping quotations.
• Monitor shipment progress, maintain accurate records, and keep internal teams updated in real time.
• Aid in the decommission and return of servers back to Assured in the UK and US from various global sites.
• Liaise with finance on pricing and shipping queries.
• Provide input on processes to help improve and enhance where necessary.

Additional duties where required

• Help track stock levels at our UK and US warehouse, ensuring that we order in new stock based on upcoming requirements, RMA (faulty returns) and previous delivery time trends.
• Obtain quotes and order new equipment into stock.
• Liaise with vendors/logistics partners to ensure stock is received and updated in a timely manner.
• Track new orders and provide updates to relevant stakeholders.
• Track returned equipment – wiping, selling, dismantling for spares or destroying as appropriate.

• Confidence and ability to interact with members of all technical teams including team leaders, managers and directors.
• Willingness to learn and not afraid to get involved in unfamiliar processes to achieve a task.
• Excellent time management / organisational skills; being able to work well in critical or high‑pressure situations.
• Head for numbers – working on quotes, with/without taxes – spotting errors or price rises before committing to orders.
• Basic understanding of technology applications in a standard working environment such as the MS Office suite, web forms, messaging tools, and logistics systems. Strong Excel skills a plus.

Desired Experience

Training on our systems, processes and partner relationships will be provided but previous experience in some areas would enable the successful candidate to get up to speed much quicker.

• Experience of shipping & logistics, particularly global shipping.
• Strong understanding of customs procedures, Incoterms, and international trade compliance.
• Exposure to asset management and procurement (desired, but not essential; training on all our processes will be provided).

Hours of Work

The role is based around normal UK office hours, Monday to Friday. Assured is a global company with operational staff across 6 time zones, occasionally there may be a need to help out of hours if dealing with a problem in a foreign country or for staff located out of the primary time zone.
