Overview
This is a 12‑month fixed‑term, full‑time position (37.5 hours per week) working Monday to Friday, 9:00 am–5:00 pm, offering an exciting opportunity to join a busy and dynamic healthcare environment.
Responsibilities
- Coordinate and book outpatient appointments across the Trust’s sites, ensuring a smooth, efficient, and patient‑focused service.
- Support implementation, maintenance, and development of new and existing appointment systems, contributing to continuous service improvement and operational efficiency.
- Monitor booking processes and data accuracy, identify opportunities for improvement, and ensure compliance with Trust policies and NHS standards.
- Serve as the first point of contact for patients, carers, and staff, demonstrating outstanding communication, empathy, and problem‑solving skills.
- Handle enquiries professionally and sensitively, provide clear and accurate information, and uphold strict standards of patient confidentiality at all times.
- Deal with phone calls in a professional and timely manner, adhering to local targets set by the department and Trust.
- Support the Trust in delivering NHS targets and respond in a timely fashion to all administrative duties within the team.
- Support the implementation of all new IT and patient administration systems and assist with modernisation projects that improve patient pathways.
- Maintain strict confidentiality of correspondence received in the department, in accordance with Trust policy.
- Ensure demographics and daytime contact numbers are obtained and checked on each individual call and updated on the patient administration system.
- Adhere to the Trust Access Policy when patients do not keep appointments or wish to delay appointments or treatment.
