About this Role
Weare looking to recruit a PersonalAssistant to the Headteacher/Office Manager to join us at Moseley. We arelooking for a team member with the passion and enthusiasm to make a positiveimpact within the role.The ideal candidate will already possess the knowledge and experience to make this role successful and be able to providethe best supportfor the Head Teacher, Staffand students.
Successfulcandidates will have:
- Experience of working in a School Environment
- Have excellent interpersonal and organisationalskills
- Experience of a wide range of administrativefunctions
WorkingTime:
This is a Full time role working 36.5hours per week, term time only plus 5 days to be workedin the holidays. Giventhe nature of the role some flexibility may be required concerning start andend times to meet the needs of the school.
Responsibilities - PA to Headteacher:
- Diarymanagement involving liaison with different agencies, both internal andexternal to the school
- Confidentialwork for the Headteacher such as preparation of confidential reports
- Preparation,maintenance and management of filed records including school policy andprocedures
- Preparationof returns and reports as required by Headteacher/ Governing Body toagreed/required deadlines
- Effectivemanagement of all correspondence and communication, including assessment anddissemination of information as appropriate
- Provision ofefficient and effective communication channels between the Headteacher,teaching and support staff, Governors, outside agencies etc
- Dealing withenquiries from all stakeholders
- EnsureGovernors paperwork is prepared and passed to the Clerk to Governors within thestatutory time limits, papers are printed for meetings, papers are storedcorrectly and any other administration needs of the Governing Body
- Co-ordinateresponses to complaints received, in all forms and ensure they are dealt within a timely and effective manner. Ensuring accurate records are kept of allcomplaints
- Liaising anddirecting members of staff with queries or questions
- Deputise forthe Design and Communication Officer to produce Staff Bulletin and sendcommunications to students and parents via EduLink and the website
- Maintainup-to-date documents on the intranet
- Ensure thesmooth and calm running of the Headteacher's office
- Provideadministrative support to the Chair of Governors and the Headteacher inrecruitment to Governing Body
- Ensure allagreed planned absences are recorded on the school system
Responsibilities - SLT Support:
- Provideassistance for the Senior Leadership Team, including arranging meetings andadministration support
- Liaise withLeadership Team to ensure all school policies are updated in accordance withdeadlines, approved by the associated Governing committee, disseminated upto date policies
- OrganisingMeetings for Headteacher and Core Leadership groups
- Takingminutes at meetings and ensuring actions recorded at meetings are completed
- Assist withCPD and appraisal administration
- Organisemeetings and take minutes for the Social and Wellbeing Committee
- Providead hoc support to arrange cover for absent staff, which will require a 6:45am start and anearly finish
Responsibilities- Line Management:
- Line managethe Reception Team
- Provide andorganise cover for the Reception Team when required
Responsibilities - Health & Safety:
- Act a FireMarshall
- Ability tobe an on-call First Aider
Responsibilities - General:
- Update theSchool Staff Handbook
- Arrange allend of term and any ad hoc staff events
- Co-ordinatestudent reward events as directed by the Headteacher
- Prepare allcelebratory certificates and Headteacher commendations for students and staff
- Contact forMoselians and external agencies and companies
- Monitoringof isolated students outside the Headteacher's office
- Generalduties including overseeing hospitality, photocopying, word processing andlaminating
Other Responsibilities:
- Assist with student behaviourand welfare in public places during break, lunch, change of lesson, beginningand end of school day as directed
- Participate in professionaldevelopment opportunities, willingness to develop additional skills andexpertise
- Keep up to date with currenteducational developments and legislation affecting your area of responsibility
- Be aware of and supportdifference and ensure equal opportunities for all
- Contribute to the overallethos/work/aims of the school
- Develop constructiverelationships and communicate with other agencies/professionals
- Be aware of and followsafeguarding and promoting the welfare of children and to report any concernsin accordance with the school's safeguarding policy
- To comply with the school'sHealth and Safety policy and statutory requirements
- To undertake any other dutiesnot detailed above commensurate with the level of the post.
