We’re looking for a Finance and Compliance Administrator who is highly organised, detail‑focused, and takes pride in maintaining accurate systems and processes. This role is key to ensuring the organisation runs smoothly, remains compliant, and operates with strong financial control.
Role Purpose
The Finance and Compliance Administrator supports the effective running of financial processes and ensures the organisation meets all regulatory and safeguarding requirements. You will manage detailed administrative processes across finance and compliance, maintaining accuracy, consistency and accountability at all times.
Key Responsibilities
Finance & Financial Administration
- Process invoices, payments and staff expenses in line with internal procedures
- Reconcile bank transactions and maintain accurate financial records, including VAT documentation
- Support the preparation of monthly management accounts, financial reporting and budget monitoring
- Assist with payroll processing and pension submissions
- Maintain up to date records for suppliers, clients and contractors
- Liaise with external partners such as accountants and auditors as required
Compliance & Regulatory Management
- Maintain and regularly update compliance documentation, including safeguarding, safer recruitment, GDPR and health and safety records
- Track and manage contract start and end dates, ensuring timely renewals and action on expiries
- Maintain the Single Central Record (SCR), ensuring all tutor and staff compliance checks (DBS, references, right to work) are complete and current
- Assist with reviewing and updating policies and procedures in line with statutory requirements (e.g. KCSIE, Ofsted, GDPR)
- Monitor mandatory training compliance, tracking completion and flagging upcoming renewals
Data Management & Accountability
- Handle sensitive and confidential information in line with data protection requirements
- Maintain accurate, well‑organised systems to support both financial and compliance processes
- Support the preparation of reports for Directors and the Operations team
- Assist with internal and external audits, ensuring required documentation is accurate and accessible
Proactivity & Process Ownership
- Identify gaps or risks in processes and take action to address them
- Ensure all tasks are completed with a high level of accuracy and attention to detail
- Take ownership of responsibilities and follow through to completion
Candidate Profile
Essential Attributes
- Experience using Xero
- Experience in finance administration, book keeping or payroll
- High attention to detail and accuracy
- Strong organisational skills and ability to manage multiple processes simultaneously
- Comfortable working with financial data and administrative systems
- Trustworthy and able to handle confidential information appropriately
- Proactive, methodical and solution‑focused
- Positive, professional approach when working with internal and external stakeholders
Desirable
- AAT or similar accounting qualification
- Experience in education, recruitment or another regulated environment
- Familiarity with compliance frameworks such as safeguarding, GDPR or safer recruitment
