Role Overview

As Executive Assistant to the Managing Director and Sales Director, you will play a pivotal role in ensuring the smooth and efficient running of executive operations. This is a fast-paced, varied position requiring a high level of discretion, initiative, and excellent organisational skills. You will act as a trusted partner to the Managing Director and Sales Director, supporting strategic initiatives across the business, coordinating communications, and managing schedules.

Key Responsibilities

  • Provide senior-level administrative and organisational support to the Managing Director and Sales Director.
  • Manage demanding and fluid schedules, optimising time and priorities, along with diaries and travel arrangements.
  • Filter and prioritise communications, exercising sound judgement and autonomy.
  • Prepare high-quality board-level reports, presentations, and business briefings.
  • Lead and coordinate key business projects and initiatives on behalf of the MD/SD.
  • Attend senior meetings, contributing where appropriate and ensuring follow-through on actions.
  • Manage confidential and sensitive matters with absolute discretion.
  • Support with event planning, including exhibitions and industry events.

Requirements – Essential

  • Proven experience as an Executive Assistant or in a similar senior administrative role.
  • Exceptional organisational and time-management skills, alongside strong written and verbal communication abilities.
  • Strategic thinker with good levels of business acumen.
  • Confident communicator, able to influence and engage senior stakeholders.
  • High level of professionalism and confidentiality.
  • Customer focussed, with a passion for delivering a high-level customer experience.
  • Proactive, with the ability to anticipate needs and solve problems independently.
  • Comfortable working in a fast-paced, multi-faceted commercial environment.
  • Advanced proficiency in Microsoft Office and general business systems.

Requirements – Advantageous

  • Strong understanding of consumer law, and it’s relation to vehicle sales.
  • Good understanding of HR law and processes.
  • Familiarity with CDK/Keyloop DMS, or similar.
  • Degree-level education or equivalent experience preferred.

Other working requirements

  • Maintain an awareness of any Health and Safety issues that arise within the department and take action/report any incidents as appropriate.
  • Excellent time keeping and attendance at all times.
  • Because of the changing nature of our business your job description may change. You will, from time to time, be required to undertake other activities of a similar nature that fall within your capabilities as directed by management.
