Overview

The UK Events Administrator supports a busy Events Team responsible for delivering internal and external events ranging from small meetings to large-scale conferences, exhibitions, and customer visits. The role plays a key part in creating memorable, seamless experiences that strengthen customer relationships and support wider business goals.

Key Responsibilities:

Event Coordination

  • Support the planning and delivery of events for 6–600 attendees.
  • Manage event registrations and RSVPs, ensuring accuracy and smooth processes.
  • Book accommodation and travel for delegates and staff.
  • Work with both small and large budgets, maintaining accurate records.
  • Assist with on‑site event management, including setup, delegate coordination, and issue resolution.
  • Respond to and project‑manage internal and external event requests.

Daily Operations

  • Source, book, and coordinate venues, including attending site visits.
  • Liaise with suppliers and vendors to ensure timely delivery of services.
  • Support the creation of customer‑facing materials in line with brand guidelines.
  • Raise POs, track budgets, and manage payments.
  • Contribute to event risk assessments and health & safety documentation.
  • Support post‑event reporting, evaluations, and feedback analysis.

Event Communications

  • Build registration forms and event websites using Cvent.
  • Work with Marketing to prepare event communications such as invitations, reminders, and joining instructions.
  • Manage post‑event communications, including feedback surveys.

Team & Administrative Support

  • Maintain event databases, contact lists, and internal trackers.
  • Monitor and respond to queries in the shared events inbox.
  • Provide general administrative support, including scheduling meetings, preparing agendas, and taking minutes.

Essential Skills & Experience

  • Recent graduate or individual seeking an entry‑level role with a passion for events.
  • Excellent organisational skills and strong attention to detail.
  • Confident communicator with strong interpersonal skills.
  • Ability to multitask and remain calm under pressure.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Enthusiastic, proactive, and comfortable working independently or as part of a team.

Desirable Skills

  • Experience using Google Suite.
  • Familiarity with Cvent or similar event‑management platforms.
