We are seeking a Facilities Administrator to provide vital administrative support across our production buildings, offices, and facilities services. This is an exciting opportunity to contribute to the smooth running of multiple sites, ensuring compliance, efficiency, and operational excellence.
The successful candidate can be based at any of our three sites, with occasional travel required between the locations.
Working closely with contractors, service providers, and colleagues, you will play a key role in maintaining the systems and processes that keep our facilities safe, efficient, and future-ready.
Key responsibilities:
- Raise purchase requisitions for facilities services, projects, and contracts.
- Reconcile purchase orders and invoices for completed work.
- Maintain service contract records, service level agreements, and service reports.
- Schedule contract visits, reviews, and ad-hoc maintenance calls.
- Build and maintain strong relationships with contractors and suppliers.
- Assist in compiling and maintaining asset registers.
- Monitor and update the facilities service request system.
- Support compliance by updating EHS and Health & Safety records.
- Assist with office space planning and people moves.
- Maintain utilities records.
- Undertake any other duties as required to support the business

Essential Skills, Qualifications/Experience: To be considered for shortlisting, applicants must meet all the following:
- Administration qualification or GCSE / Junior Certificate (or equivalent).
- Some experience working with customers, clients, or third parties.
- Strong organisational and communication skills.
- Proficiency in Microsoft Office and ability to learn internal systems.
Desirable Skills, Qualifications/Experience- Experience working in a Facilities, EHS, or compliance-focused environment.
- Familiarity with service contracts, SLAs, or vendor management.
- Strong analytical skills with the ability to reconcile records and reports.
- Knowledge of Health & Safety or compliance standards.
- A proactive approach to problem-solving and continuous improvement.
