Job Description

  • Manage full corporate travel bookings (flights, accommodation, visas, transport) and maintain travel schedules
  • Support marketing activities (printing materials, exhibitions, campaigns, stock control of marketing items)
  • Maintain and organise filing systems and general office administration
  • Provide PA support to Marketing Manager, CEO, and Financial Manager (emails, presentations, scheduling, correspondence)
  • Liaise with suppliers, service providers, and internal teams
  • Coordinate meetings, events, and director workshops (including travel and catering)
  • Handle client interaction and hospitality (welcoming visitors, arranging catering)
  • Reconcile company credit card statements (travel and marketing expenses)
  • Assist with cell phone management (billing, upgrades, distribution, repairs)
  • Assist with insurance administration (asset tracking, claims, updates

Qualifications

  • Candidate must be able to handle confidential information with high level discretion and professionalism.
  • Minimum of 3-5 years of experience in an administrative or executive assistant role.
  • Experience in marketing assistant and Office Assistant role will be advantageous.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Excellent time management and prioritisation skills.
  • Superior written and verbal communication skills. With an ability to draft professional correspondence and reports.
  • Strong interpersonal skills to interact effectively with various stakeholders.
  • Proactive and self-motivated.
  • Strong work ethic and reliability.
  • Adaptability and ability to work under pressure.
