Job Description:

Responsibilities

  • Provide high level PA support to senior management team: recruitment processes, organising meetings, preparation of documents, reports and presentations.
  • Prepare for service team meetings, disseminate papers and follow up on allocated actions ahead of meetings.
  • Handle telephone calls, post and direct contacts with clients and internal/external agencies professionally; use judgement and discretion; refer complex matters to senior staff and take messages as needed.
  • Create documents (letters, memos, reports) via copy or audio typing with Microsoft Office, ensuring all policies and procedures are followed.
  • Carry out general office duties such as scanning, photocopying and filing.
  • Participate in induction of new permanent or temporary staff, preparing induction packs and schedules.
  • Take part in audit/quality/monitoring initiatives.
  • Receive patient/staff queries and complaints on behalf of the service line, liaise, act, and follow up/refer per departmental and trust guidelines and protocols.
  • Serve as point of contact for staff reporting sickness, transport delays, and inform relevant leads.

Qualifications

  • Good standard of education.
  • Previous administrative experience.
  • Excellent interpersonal and communication skills.
  • Excellent IT skills.
  • Ability to multi-task and work proactively and independently.
  • Ability to work as part of a team (essential).
  • Previous NHS experience desirable.
