An opportunity has arisen for a forward‑thinking, enthusiastic, highly motivated and experienced PA to support the Head of Harrow Children’s services and the Therapies Senior Management Team. The role includes high‑level diary management, self‑prioritisation of workload and comprehensive confidential secretarial support to the SMT – attending senior management meetings, taking minutes, typing agendas and reports, and ensuring action trackers are updated and actions followed up.

The post holder will be emotionally intelligent and possess excellent interpersonal and communication skills, as the role requires liaising with a wide range of internal and external staff and organisations, often involving senior personnel.

Main duties of the job

The role will involve working closely with the Head of Service to support them in the discharge of their responsibilities, as well as any other required senior management team members. This will include diary and email monitoring and management, meeting organisation and support, project and audit work, document preparation, and management of key delegated responsibilities such as incident reporting, risk and recruitment. The role also supports liaison with the service lines over specific pieces of work.

We are looking for an enthusiastic person who enjoys a challenge and a variety of tasks. The ideal candidate will have a good standard of education, previous administrative experience, excellent interpersonal and IT skills, and the ability to multi‑task and work proactively and independently. The ability to work as part of a team is essential. Previous NHS experience is desirable.

Job responsibilities

  • Provide high‑level PA support to the senior management team, including recruitment processes, organising meetings and preparing documents, reports and presentations.
  • Prepare for any service team meetings, disseminating papers and following up on allocated actions ahead of the meetings.
  • Deal with telephone calls, post and direct contacts with clients and internal and external agencies in an appropriate and professional manner, using judgement and discretion where necessary, referring complex matters to relevant senior staff and taking messages when necessary.
  • Prepare documents (letters, memos, reports, etc.) by copy or audio typing using Microsoft Office software, ensuring all policies and procedures are adhered to.
  • Carry out general office duties such as scanning, photocopying and filing.
  • Participate in the induction of any new permanent or temporary staff into the service and prepare the induction pack as well as the induction schedules.
  • Take part in any audit/quality/monitoring initiatives.
  • Receive patient/staff queries and complaints on behalf of the service line and liaise, action and follow up / refer as required following departmental and trust guidelines and protocols.
  • Be a point of contact for staff reporting in sickness, transport delays and inform the relevant leads.

Person Specification

Education & Qualifications

  • GCSEs or equivalent in English and Maths
  • A‑levels, NVQ level 3 in Business Administration, or relevant equivalent experience
  • NVQ3 in customer service, office administration or relevant subject. BTEC Level 3 or equivalent

Knowledge and Skills

  • Excellent time management and multi‑tasking skills
  • Diary management experience
  • Experience of working in a health or social care environment

Specific Skills

  • Ability to develop and maintain high standards of communication both orally and in writing with people about difficult matters and in difficult situations
  • Knowledge of using Microsoft Office packages to compose standard letters and reports, along with more complex documents, and demonstration of excellent keyboard skills
  • Knowledge of working with databases including Excel to input, store, modify, structure, maintain, analyse and present data & information
  • Excellent minute‑taking skills. Ability to work as an effective team member, building constructive relationships with warmth and empathy
  • Ability to manage multiple tasks and complex coordination tasks
  • Ability to prioritise and plan own workload to meet deadlines and competing demands. Able to delegate tasks and support others with theirs
  • Ability to treat service users and colleagues with respect and dignity at all times, adopting a culturally sensitive approach which considers the needs of the whole person
