Job Overview

We are seeking a highly motivated, enthusiastic and proactive individual to join the PACS team as a Senior PACS Administrator based in the Brunel Building at Southmead.

As a PACS administrator you will work within a small team accessing and supporting exceptionally high‑quality systems, administration and data management. You must be able to work as part of a multi‑disciplinary team, and have excellent organisational and communication skills.

Working Hours

Part‑time, 31 hours per week: Monday 8:00 – 16:30, Tuesday 8:00 – 16:00, Wednesday 8:00 – 16:00, Thursday 8:00 – 16:30.

Main Duties of the Job

  • Assist the PACS Manager in the ongoing PACS/RIS system support.
  • Provide training to new and existing RIS/PACS users.
  • Administrative support.
  • Participate in out‑of‑hours PACS/RIS covering.

Detailed Responsibilities

  • Must have RSA III typing, equivalent evidence of relevant experience.
  • Educated to GCSE standard or equivalent (e.g., NVQ 3) or relevant experience.
  • Experience in PACS, RIS and ICE.
  • Experience demonstrating responsibility in sole and collective team working.
  • Knowledge of secretarial procedures.
  • Advanced computer skills – Microsoft Office (Word, Excel, Outlook), internet and patient information systems; ability to analyse and disseminate data.
  • Knowledge and experience of communicating with others.
  • Able to organise and prioritise own workload.
  • Must be able to work under pressure.
  • Advanced keyboard skills.
  • Attention to detail during complex merging processes.
  • IT skills related to NHS patient care systems in Radiology.
  • Able to communicate with a broad range of individuals including those whose language is not English; include patients, staff, relatives, GP’s and other outside agencies in an informative, sensitive and tactful manner.
  • Ability to learn new and complex terminology.
  • Confident in communicating in a variety of ways – face‑to‑face, telephone, email, intercom, etc.

  • PACS Support
    • Assist the PACS Manager in supporting the PACS/RIS systems.
    • Provide PACS/RIS training to new users.
    • Day‑to‑day systems upkeep, including merging and unmerging of patients within CRIS.
    • Merge and delete (hide) PACS images.
    • Support the PACS Manager with the contractual arrangement for out‑of‑hours PACS/RIS cover (optional).
    • Update CRIS tables to reflect new staff.
    • Issue passwords.
    • Update CRIS booking diaries to reflect radiology service changes.
    • Provide administrative support to the PACS Manager as required.
    • Attend and participate in meetings as required.
    • Day‑to‑day PACS system upkeep of highly complex information.
    • Update RIS tables to reflect new information.
    • Ensure all requests for image data via telephone, email or face‑to‑face are handled promptly and effectively.
    • Provide general first‑line solutions to service user queries.
    • For unresolved requests, provide an effective interface and ensure escalation to the appropriate party.
    • Assist with day‑to‑day housekeeping of CRIS/PACS.
    • Train and pass on knowledge to colleagues.
    • Image transfer – full working knowledge of all image transfer systems; ensure relevant encryption is applied.
    • Support training of new staff involved in duplication and image transfer service.
    • Assist and contribute to the development of workflows and procedures related to duplication and image transfer.
    • Transfer/copy images quickly and efficiently when required.
    • Provide non‑clinical advice and information directly to patients, staff and external companies (e.g., solicitors, other Trusts) regarding imaging data.
    • Provide a comprehensive image data copying service, including burning CDs from existing PACS images and importing images from CDs from other hospital sites/Trusts.
    • Enforce Data Protection and Information Security Policies; provide advice as required.
    • Maintain appropriate documentation and logs.
    • Ensure the relevant encryption practice is adhered to when required.

Person Specification

Education / Training / Qualifications (Essential)

  • GCSE grade C in English and Maths or equivalent (e.g., NVQ 3) or relevant experience.

Work Experience (Essential)

  • Confident in communicating with a broad range of individuals using various methods.
  • Experienced working in a busy administrative office.

Desirable Criteria

  • Previous relevant NHS experience.

Knowledge / Skills / Abilities (Essential)

  • Ability to work under pressure.
  • Ability to follow procedures.
  • Excellent organisational skills.
