Main duties of the job
The main role of the Senior Administrator/Medical assistant is to support clinicians in any administration tasks which are required. This will include actioning clinical letters, update medical records. Completing some secretarial duties with electronic dictation system and working on digital referral system
They maintain the Quality Outcomes Framework and are responsible for ensuring all patients receive the appropriate reviews when required.
They will be responsible for ensuring adequate staff levels, stock takes, managing performance and addressing employee relations matters. reporting to the Practice manager.
Job responsibilities
The MA role supports doctors and clinicians in the smooth running of their surgery by handling routine administration tasks thus improving patient access and allowing clinicians to see more patients and to spend more time on their care.
Actioning a minimum of 60 clinical letters per day via DOCMAN and taking all necessary actions. I.e. ordering bloods, urine tests, raising referrals, coding results/procedures/problems etc. Coding new cancer diagnosis. Coding palliative care patients. Ensuring new cancer patients and palliative care patients are added to the relevant care programmes.
Directing clinic letters to appropriate person/department if there is a further clinical need i.e. nurse/ GP/ Paramedic/ Pharmacist.
Contacting vulnerable patients if a hospital appointment has been missed to establish reason why, re-refer if requested and ensure all is well with patient.
To complete some secretarial duties and completing referrals via the digital ERS system.
Maintaining blood diary when/if necessary during staff absence.
Dealing with MA Task port. Answering and investigating queries, reporting back to patient/ GP/ clinician/ Practice Manager.
Assist covering Practice central email pot and directing emails to relevant departments.
Covering 111 Reports during annual leave or sickness.
Covering Reception lunch hour when required.
Location: The Moorings Medical Practice.
Qualifications
- At least GCSE Grade A-C in English and Maths
- I T Literate

- Previous experience of working within the NHS
- Previous experience of working within a team.
