Office Manager – Workplace Operations (Abu Dhabi)

We are seeking a highly capable and proactive Office Manager to lead day-to-day workplace operations within a fast-paced, high-performing finance house. This is a pivotal role within a growing regional hub, supporting a dynamic environment and working closely with senior stakeholders across international teams.
You will take ownership of the office experience end-to-end, ensuring operational excellence, exceptional service standards, and a seamless workplace that enables teams to perform at their highest level.
Key Responsibilities
Office & Workplace Operations
- Oversee all office operations in the Abu Dhabi location, ensuring a seamless, high-quality workplace experience
- Act as the central point of coordination for workplace standards, office services, and day-to-day operational delivery
- Continuously improve office processes to enhance efficiency, cost-effectiveness, and employee experience
- Manage office maintenance, facilities issues, and service providers to ensure high service standards
Stakeholder & Reporting
- Produce regular management reports for the Director of Workplace Operations (London), covering office conditions, enhancements, and operational updates
- Partner closely with the Head of Abu Dhabi Office and senior stakeholders to support projects and operational requirements
- Provide clear, solutions-focused operational insight to support decision‑making
Vendor & Supplier Management
- Manage relationships with vendors, contractors, and service providers, including negotiation, performance monitoring, and service optimisation
- Ensure cost-effective procurement of office supplies, catering, and consumables without compromising quality
Front of House & Employee Experience
- Oversee front‑of‑house operations, including reception, switchboard, visitor experience, and meeting room management
- Maintain a professional, polished, and welcoming office environment at all times
- Manage mail, courier services, taxis, and general office logistics
Events & Workplace Engagement
- Organise office events, internal initiatives, branded materials, and engagement activities
- Support onboarding and offboarding processes, including access, desk allocation, and induction coordination
- Coordinate desk moves, office reconfigurations, and workplace changes
Travel & Administration
- Manage complex travel arrangements, including flights, accommodation, itineraries, and visa coordination
- Maintain accurate internal documentation and intranet content
- Support a broad range of administrative and operational projects as required
Compliance & Sustainability
- Ensure compliance with Health, Safety & Fire regulations and internal workplace standards
- Support sustainability initiatives and environmentally responsible office practices
What We’re Looking For
- Strong academics with a minimum of 3 years’ experience in office management, workplace operations, executive support, or similar roles within professional services or high-performing finance environments
- Proven experience across office operations including reception oversight, visitor management, travel coordination, vendor management, and facilities support
- Highly organised, detail‑oriented, and proactive with strong problem‑solving ability
- Confident communicator with the ability to build trusted relationships across all levels
- Professional, discreet, and service‑driven with strong judgement and integrity
- Flexible, hands‑on approach in a fast‑paced, evolving environment
- Familiarity with the Abu Dhabi/UAE business and service landscape is advantageous
