Service Delivery Support Administrator

To support the Service Manager and Operational staff within CAMHS Community with administrative functions to enable effective and efficient services to be delivered to children, young people, and their families, in the community.
The post holder will have good organisational ability, strong IT skills and flexibility are required. You will also be required to make some decisions on work matters where analysis of data is required. This will include E-Roster management for all Clinical staff as led by the Service Manager, Team Leads and Operational Support Officer for CAMHS Community.
You will support the Support Service Manager in meetings where appropriate with tasks such as arranging meetings, agenda setting, meeting minutes and action log management.
The post holder will provide high quality administrative support to CAMHS Community with tasks such as raising purchase orders, invoicing, monitoring compliance, ensuring diaries, clinics and appointments are coordinated, assisting with producing correspondence, reports and other key documents which require excellent communication links with the Service Manager, Operational staff, and wider team of staff of all disciplines to ensure reliable and effective operational delivery of the Service. This includes the attendance at various meetings/forums where required.
To undertake other duties commensurate with this banding as and when requested.
Main duties of the job
- Manage e-rostering for CAMHS Community (shifts, amendments, sickness, TOIL, bank/overtime, training).
- Maintain annual leave, including calculations and rotas.
- Administer maternity/paternity leave and student/placement rosters.
- Produce/maintain TLOC rotas and related communications.
- Process ESR requests, pay progression, flexible working, base location changes, and HR forms.
- Monitor compliance for Mandatory Training, Supervisions, and Appraisals; follow up and book sessions as needed.
- Administer TRAC processes for clinical vacancies (upload roles as directed).
- Support new starter and leaver processes (HR forms, equipment orders/deployment, access to systems/shared drives/MS Teams).
- Provide EasyExpense support.
- Support CAMHS Community Leadership Team with meeting logistics: scheduling, agendas, minutes, and action logs.
- Provide ad hoc minute-taking for clinicians.
- Handle staff queries and general administrative duties as required by CAMHS Community Leadership Team.
- Provide administrative support to CBT trainees and nursing placement staff.
- Organise training and away days.
- Process orders via Agresso/Supply Chain/purchasing/procurement for CAMHS Community.
- Provide SystmOne support to staff.
- Act as contact for estates requests.
- Support DSE assessments and health & safety tasks.

Qualifications
- Educated to GCSE grade C or above (or equivalent) in literacy and numeracy.
- NVQ in Administration level 2/3 or equivalent qualification.
knowledge and Experience
- Sound knowledge of Microsoft Packages – Word, Excel, Teams and Outlook.
- Excellent keyboard skills.
- Evidence of previous administrative experience.
- Experience of using SystmOne.
- Experience of ESR/Eroster.
- Experience of working with children/young people and their families.
- Previous experience of working in the NHS.
skills and Abilities
- Ability to organise and prioritise own workload.
- Ability to deal sensitively with service users, carers and colleagues.
- Ability to work under pressure with minimal supervision and to work to deadlines.
- Ability to maintain confidentiality and exercise judgement when dealing with sensitive issues.
- Previous experience of SystmOne or other database platforms.
- Full Driving License and use of car (or alternative mode of transport) or ability to travel across sites if required.
