We’re recruiting exclusively for an Operations Administrator to join a growing and fast-paced team in Leeds offering a great opportunity to step into a busy, supportive environment where your contribution will make an immediate impact.
The RoleThis position sits between customers and the scheduling team, acting as a central point of coordination to ensure smooth delivery of services.
Day-to-day, you’ll:
- Manage incoming customer requests via email and phone, identifying and clarifying their needs
- Create and manage cases within internal systems
- Convert customer enquiries into accurate quotes and job cards for engineers
- Coordinate work relating to vehicle de-fits and re-fit
- Liaise with customers to confirm details, resolve queries, and handle missed-visit charges where required
- Set up new customers on internal systems
- Maintain accurate records using Excel and internal platforms
- Work closely with scheduling and operations teams to ensure efficient job delivery
This is a predominantly administrative role, but strong communication skills are essential – you’ll need the confidence to pick up the phone and gather information when needed, not just rely on email.
About YouWe’re looking for someone who is:
- Highly organised with strong attention to detail
- A confident communicator, able to fact-find and build rapport with customers
- Comfortable handling queries, resolving issues, and occasionally discussing charges
- IT literate, with experience using:
- Microsoft Office (Excel, Outlook, Teams, SharePoint)
- CRM systems (experience with Microsoft Dynamics is advantageous)
- Proactive, with the ability to manage a busy workload and prioritise effectively
- Full training provided (minimum of 1 month) by an experienced team member
- Office-based during training
- Hybrid working after probation (typically 3 days in the office)
- 1-stage face-to-face interview
