Job Description:

A highly regarded medium sized law firm is seeking an experienced Legal PA to provide high-level administrative, legal and business support across a friendly Corporate department.

This role is permanent, full-time, with hybrid working available for 2 days. You will supporting Senior Associates and Partners in a supportive team.

Key Responsibilities

PA & Secretarial Support

  • Deliver proactive PA and secretarial support to allocated stakeholders, ensuring all legal administration tasks are completed accurately and efficiently.
  • Manage legal administrative processes including file opening, billing support and file closing procedures.
  • Format legal documentation in line with firm branding and document standards.
  • Provide guidance and mentoring support to junior secretarial staff where required.
  • Assist with monitoring workflow quality and supporting performance improvements across the team.
  • Deliver a consistently high level of client service and act as a professional point of contact for external parties.
  • Liaise effectively with internal stakeholders to ensure requests and priorities are managed appropriately.
  • Prioritise workloads across multiple requests while communicating progress clearly to stakeholders.
  • Identify issues proactively and support effective problem resolution.

Executive Assistant Duties

  • Manage diaries, Outlook calendars and scheduling for senior team members.
  • Coordinate internal and external meetings, including room bookings, refreshments and IT requirements.
  • Support the setup and coordination of larger meetings and departmental events.
  • Arrange UK and international travel, including itineraries and logistics.
  • Take and distribute meeting minutes when required.
  • Manage calls, voicemail, inboxes and out-of-office communications on behalf of stakeholders.
  • Coordinate conference calls and virtual meetings.
  • Distribute documentation electronically and in hard copy as required.

Filing & Administrative Management

  • Maintain electronic and hard-copy filing systems in accordance with firm procedures.
  • Support and guide junior secretarial staff in maintaining accurate filing standards.
  • Coordinate large printing and copying requests with Office Services teams and oversee delivery timelines.
  • Provide reception and wider departmental PA cover during periods of absence or peak workload where needed.

Business Process & Operational Support

  • Ensure departmental compliance with internal processes and operational procedures.
  • Support the management and reduction of aged WIP and debt in collaboration with department leadership and finance teams.
  • Assist with invoice drafting and financial administration tasks.
  • Help improve departmental financial performance against agreed targets.
  • Support the team with IT queries and coordinate with internal and external technical support providers.
  • Communicate system changes, training updates and process improvements to relevant stakeholders.
  • Assist fee earners with preparation of court bundles, client bibles and other client-related documentation where capacity allows.

Candidate Profile

  • Previous experience within a Legal PA, Executive Assistant or senior secretarial role in a law firm, ideally within a Corporate or Litigation group
  • Strong organisational and prioritisation skills within a fast-paced environment.
  • Excellent communication and stakeholder management abilities.
  • Confident managing multiple deadlines and competing priorities.
  • Competent across Microsoft Office and legal systems/platforms.
