The Paediatric Department is seeking a Secretary Manager to support the operational team and manage secretarial and clerical teams, ensuring efficient service delivery and compliance with performance targets.

Responsibilities

  • Support the operational team and manage secretarial and clerical staff to ensure smooth running of administrative patient services.
  • Deliver performance targets including waiting list management, finance and HR support.
  • Support various projects and developments from inception to implementation.
  • Ensure the delivery of patient access policies, departmental guidelines and quality standards.
  • Act as a key driver for the development and implementation of administrative policies and procedures, and contribute to service development projects.
  • Manage day‑to‑day operations of the administrative teams, ensuring tasks are efficiently allocated, deadlines met, and staffing levels appropriate.
  • Conduct staff appraisals, identify training needs, and provide development opportunities; ensure mandatory training has been completed and health and safety standards are met.
  • Lead the recruitment process for administrative positions (advertising, shortlisting, interviewing, onboarding).
  • Maintain the patient waiting list and ensure compliance with maximum waiting time targets.
  • Ensure all clinical sessions are adequately supported by clerical staff and monitor secretarial support allocation for consultants.
  • Monitor the departmental budget, manage administrative expenses, and oversee procurement of supplies.
  • Serve as a point of contact between administrative team, clinical teams, and external stakeholders, communicating departmental updates, key performance targets and emerging issues.
