The Role

As our Purchasing Assistant, you’ll work at the commercial heart of the business — helping us buy smarter, manage stock more accurately, and build even stronger supplier relationships. You’ll be working closely with your supervisor and across our warehouse, sales, and customer service teams.

We supply cleaning and catering products across the UK to sectors including education, hospitality, and food services. We may not be the biggest but we’re here to be the best. That means earning trust, building real relationships, and showing up for our customers and suppliers day in, day out.

What You’ll Actually Do

  • Raise and process purchase orders, checking confirmations for errors and chasing ETAs, back-orders, and stock issues with suppliers
  • Monitor stock usage levels to prevent stockouts and overstocking — keeping data clean and accurate at all times
  • Coordinate with suppliers to track shipments, resolve delivery delays, and manage delivery credits and discrepancies (taking this pressure off the warehouse team)
  • Raise and manage stock takes in collaboration with the warehouse team
  • Help maintain optimum stock levels — proactively flagging issues before they become problems, not after
  • Support accurate cost pricing to protect and improve our margins
  • Own catalogue management — product sourcing, merging, and keeping what we sell up to date (purchasing has the final say)
  • Support supplier meetings and build strong, productive long-term relationships
  • Keep the ERP/inventory system updated with accurate pricing and stock data
  • Provide cover during holidays and sickness so the purchasing function never skips a beat

What We’re Looking For

You don’t need to tick every box — but if most of these sound like you, let’s talk:

  • Experience in a purchasing, procurement, or stock control role (or strong relevant transferable skills)
  • Confident with Microsoft Excel and comfortable working with inventory or ERP systems
  • A sharp eye for detail — accuracy matters when you’re managing stock levels and supplier orders
  • Great communication skills: you’ll be dealing with suppliers daily and working closely with internal teams
  • Proactive by nature — you’d rather get ahead of a problem than firefight it later
  • Well-organised, with the ability to juggle priorities in a fast-moving environment
  • Cool under pressure and reliable when it counts
  • Access to own transport (our site is in Wartnaby, Melton Mowbray — own transport is essential)
