Job Description:

To provide operational and administrative coordination in support of project delivery objectives within a dynamic offshore environment. The role requires effective interaction with internal colleagues, offshore personnel, client representatives and support departments to ensure the efficient coordination of personnel, materials, equipment and project activities.

The position involves supporting offshore operations through planning, logistics, training coordination, scaffold operations support, documentation control and HSEQ administration. A structured and resourceful approach, strong organisational skills, attention to detail and the ability to manage multiple priorities are essential.

Adherence to relevant company, statutory and client policies and procedures is required, alongside supporting continuous improvement initiatives and maintaining strong working relationships across the business.

Key Responsibilities

Personnel Logistics & Coordination

  • Maintain project personnel rotas to reflect planned and actual offshore personnel movements, availability and onshore commitments.
  • Liaise with offshore supervisors, resource coordinators, client representatives and project teams to support optimum personnel utilisation.
  • Generate mobilisation and demobilisation requests including certification and competency requirements.
  • Provide holiday cover support for operational and administrative activities where required.
  • Support FM timesheet administration and verification to ensure accurate recording of personnel hours.

Result: Maintain accurate personnel coordination and ensure operational staffing requirements are effectively supported.

Scaffold Operations Support

  • Coordinate and manage scaffold design documentation in line with project and client requirements.
  • Monitor scaffold tonnage usage and tracking to support operational reporting and asset control.
  • Assist with planning and coordination of scaffolding activities across offshore projects.
  • Support project teams with scaffold‑related administrative requirements and reporting.

Result: Support the safe, efficient and compliant delivery of scaffolding operations and reporting requirements.

Supply Chain, Materials & Equipment

  • Raise material orders and requisitions in support of project delivery requirements.
  • Coordinate plant and equipment (P&E) ownership records and maintain asset tracking documentation.
  • Monitor out-of‑certification reports for plant and equipment and distribute to relevant stakeholders.
  • Liaise with suppliers, logistics and internal departments to ensure timely delivery of materials and equipment.

Result: Ensure project materials, plant and equipment are available, tracked and maintained in line with operational requirements.

Commercial & Project Administration

  • Assist in creation of CTRs (Cost, Time and Resource estimates) in support of project planning and execution activities.
  • Maintain project documentation and records in accordance with company and client document control requirements.
  • Provide general administrative support to project teams to assist in meeting contractual deliverables.
  • Ensure documentation is accurately stored and easily retrievable by relevant personnel.

Result: Provide effective administrative and commercial support to assist successful project execution.

HSEQ & Continuous Improvement

  • Assist with tracking risk management processes and support compliance with HSEQ procedures.
  • Maintain and file HSEQ documentation including observation cards, REACH scorecards, HAVS records, TOFS feedback and health surveillance documentation.
  • Promote quality, efficiency, customer satisfaction and continuous improvement initiatives.
  • Support lessons learned processes and encourage proactive safety engagement.

Result: Contribute to the achievement of corporate HSEQ objectives and support a positive safety culture across operations.

Training & Competency

  • Coordinate training requests and organise courses to ensure all certification requirements remain valid.
  • Liaise with training providers and logistics departments regarding course bookings and joining instructions.
  • Support competency assessment processes by coordinating assessors and verifiers as required.

Result: Ensure personnel remain trained, competent and compliant with project and client requirements.

Essential Skills & Experience

  • Good standard of education including English and numerical subjects or equivalent qualification.
  • Strong organisational and administrative skills.
  • Demonstrable knowledge of the Oil & Gas industry.
  • Ability to manage multiple tasks in a fast‑paced operational environment.
  • Strong communication and stakeholder coordination skills.
  • Good working knowledge of Microsoft Office systems.

Desirable

  • Previous experience within a project coordination or offshore support role.
  • Experience with scaffold operations, materials coordination or plant and equipment tracking.
  • Knowledge of client and company business management systems.
  • HNC or equivalent qualification in a relevant discipline.
